Job summary

Brightwater Recruitment is partnering with CUDA (Credit Union Development Association) to recruit a Senior Administrative Assistant in Dublin 24. The role sits within a fast-moving, high-visibility team and requires exceptional organisation, governance support and executive assistance skills.

Qualifications

  • Proven track record in administration-focused roles within professional services or membership organisations.
  • Experience supporting a CEO, Board, or Senior Management team.
  • Excellent planning skills with the ability to manage competing priorities in a fast-paced environment.
  • Meticulous and accurate document preparation with strong attention to detail.
  • Clear, professional written and verbal English with discretion for confidential data.
  • Advanced MS Office 365 proficiency and experience coordinating events or LMS.
  • Self-motivated with initiative and ability to work independently.

Responsibilities

  • Provide high-level executive support to the CEO, including complex diary management, expense processing and briefing note preparation.
  • Coordinate CEO forums and key stakeholder meetings; support governance activities and board-related tasks.
  • Support day-to-day AP/AR invoicing, payments tracking, and data collation for monthly management accounts.
  • Lead administrative prep for Management Committee, National Council and AGM meetings; draft minutes and action logs.
  • Oversee logistics for training programs, LMS records and CPD tracking; coordinate events and communications.

Job description

Location: Dublin 24 (Hybrid, 1–2 days in-office per week)

Position: Permanent, Full-time

CUDA is the premier representative body for progressive credit unions in Ireland, currently supporting over 50 member credit unions nationwide. They operate with a lean, high-performing team where agility, collaboration and a broad depth of expertise are central to delivering on their mission.

Everything CUDA achieves depends on rock-solid operational foundations. In this role, you will be positioned right at the heart of the organisation, working directly alongside senior leadership - including the CEO and the Manager of Finance & Operations - to ensure smooth, seamless day-to-day operations across executive support, finance, governance, events, and training administration.

Key Responsibilities
Executive & CEO Support

Provide high-level assistance to the CEO, including complex diary management, expense processing, briefing note preparation, and coordinating CEO forums and key stakeholder meetings.

Finance & Operational Administration

Support day-to-day AP/AR invoicing, payment tracking, staff expenses, data collation for monthly management accounts, audit preparation and routine vendor management.

Governance & Board Coordination

Lead administrative prep for Management Committee, National Council, and AGM meetings - preparing agenda packs, drafting minutes and tracking post-meeting action logs.

Training & L&D Coordination

Oversee logistics for training programs and workshops, maintain learner records and CPD tracking in the LMS, support compliance reporting and act as primary contact for learners and trainers.

Member Events & Communications

Manage end-to-end logistics for member briefings and events, manage member distribution lists, track engagement and assist in preparing official announcements.

Core Competencies & Requirements
  • Proven track record in administration-focused roles within professional services, governance support, membership organisations or representative bodies.
  • Previous experience supporting a CEO, Board, or Senior Management team.
  • Exceptional planning skills with a proven track record of managing competing priorities and meeting deadlines in a fast-paced environment.
  • Meticulous work standards - delivering accurate, well-presented documents and catching errors before they minimise.
  • Clear, highly professional written and verbal English communication skills; utmost discretion when handling confidential strategic and financial data.
  • Advanced proficiency across Microsoft Office 365 (Word, Excel, PowerPoint, Outlook) and hands-on experience coordinating events, training programs or managing Learning Management Systems (LMS).
  • Self-motivated with strong initiative - anticipating business needs before they arise and following through independently.
Working Arrangements

This role is based in Dublin 24. Our client operates a hybrid working structure, currently requiring at least one day per week in the office, with additional flexibility required.
