Job summary

Ashford Outdoors Limited is seeking a Receptionist/Sales Administrator with front-of-house duties to warmly greet guests and handle inquiries across phone, email, and on-site visits.

You will manage bookings, process payments, assist with clubhouse operations, and support management with basic accounting tasks while delivering excellent customer service. On-site parking is available.

Responsibilities

  • Administration of sales enquiries by phone, email, social media and in person.
  • Ensuring guests are greeted and checked in on arrival with a warm welcome and that billing/payment is processed before handing over to guides.
  • Send daily invoices for room charges created for hotel guests at end of day.
  • Assist management with accounting administration.
  • Carry out clubhouse tasks such as preparing hot beverages and selling food or merchandise as required.
  • Help keep clubhouse and customer areas clean and organised.
  • Maintain a clear, organised front-of-house/office environment.

Job Description
  • Administration of sales enquiries by phone, email, social media and in person.
  • Ensuring guests are greeted and checked in on arrival with a warm welcome ensuring DISCLAIMERS are correctly filled out and billing/payment is taken or processed before guests are handed over to the respective guide or coach.
  • At the end of the day sending the daily invoice for any room charges created for hotel guests
  • Assisting management with any accounting administration.
  • To carry out any clubhouse tasks such as the preparation of hot beverages and sale of food items or merchandise sales as required.
  • To assist in keeping clubhouse and customer areas clean, as and when required.
  • To maintain a clear organised working environment for both staff and guests in front of house/office areas.

As the first point of contact by phone or in person you will be a brand ambassador for Ashford Outdoors exuding a genuine Cead Mile failte for our diverse customer base. Communication, problem solving, and organisational skills will come to the forefront in this role. Many guests are coming from a 5 star hotel and we endeavour to match their expectations. Knowing what our capacity is for each activity on a given day is essential.

Job purpose

To ensure a warm welcome for our guests, with a swift and efficient check in and payment. To excellently administer the sales process via the phone, email and online booking system. To maximise our revenue by selling as much as possible and assisting to put systems in place to ensure this. To continue to foster a good relationship with the sales and reception teams on the Ashford Estate. To help with the smooth running of our ‘Clubhouse’ and thus enhancing our customer’s experience.

Responsibilities
  • To have excellent product knowledge for all our offerings
  • To welcome and check in our guests at 5 star standard
  • To answer the telephone professionally
  • To collect payment for activities and goods
  • To take bookings over the phone and via email
  • Along with the management team to program the online booking systems availability to show real time availability by activity by month as agreed
  • Along with management to ensure the smooth running and cleanliness of the ‘Clubhouse’ and customer areas.
  • To ensure the prepayment of activities of all day visitors before arrival
  • To follow the standard operating procedure of the clubhouse
  • To assist with training seasonal ‘clubhouse’ staff
  • To liaise with the managers and equestrian leader to ensure the availability for the current day is known
  • To prepare and send an invoice to the estate hotels for room charges at the end of each day and prepare end of day till reports
  • To notify estate hotels of our availability for the following day via email at the end of each day
  • To prepare coffee and tea and serve light refreshments such as scones
  • To operate our pos system for all activities and items for sale
  • To help file documents, compile reports and assist with data processing of accounts when requested

Pay: €19,890.00 per year
