Brightpath Recruitment is seeking an experienced Office Administrator for the Head Office in Donabate, North Dublin. This full-time, front-of-house role requires a proactive administrator to welcome visitors and support accounts and general operations.

You will handle reception, filing, supplier invoices, reconciliations, travel arrangements and team coordination, working with a busy office to keep daily activities running smoothly.

Qualifications

  • Minimum of 5 years’ experience in office administration or administrative support in construction.
  • Strong attention to detail and accuracy across administrative tasks.
  • Excellent IT skills and proficiency with Microsoft Office and office systems.
  • Organised and able to manage time effectively.
  • Professional and approachable with good communication.
  • Ability to work independently and in a team.

Responsibilities

  • Reception & Front of House: Welcome visitors, handle calls, and be the first contact for the company.
  • Office Administration: Maintain filing systems and provide general admin support.
  • Accounts & Purchasing Support: Review and process supplier invoices with accuracy.
  • Reconciliations: Assist with supplier statements and Visa/debit card reconciliations.
  • Fleet Administration: Coordinate vehicle tax renewals and rebates administration.
  • Office Management: Monitor supplies and ensure resources for daily operations.
  • Document Preparation: Prepare and organise company documents and booklets.
  • Travel & General Support: Arrange flights and assist with other admin tasks.

Office Administrator – Donabate, North Dublin

Salary: €40,000

We are currently recruiting on behalf of our client for an experienced Office Administrator to join their Head Office team in Donabate, North Dublin.

This is a full-time, front-of-house position offering an opportunity to play an important role in the day-to-day running of the office. The successful candidate will be the first point of contact for visitors and callers while providing administrative and accounts support across the business.

What You’ll Be Doing:
  • Reception & Front of House: Welcome visitors, manage incoming calls and enquiries, and provide a professional and friendly first point of contact for the company.
  • Office Administration: Maintain organised filing systems, manage paperwork and dockets, and provide general administrative support to the wider team.
  • Accounts & Purchasing Support: Review, verify and process supplier invoices, ensuring information is accurate before being entered into the company system.
  • Reconciliations: Assist with regular reconciliation of supplier statements, Visa transactions and company debit card payments.
  • Fleet Administration: Coordinate vehicle tax renewals and assist with the administration of fuel and diesel rebate claims.
  • Office Management: Monitor office supplies and inventory, order stationery and ensure the office has the resources required for day-to-day operations.
  • Document Preparation: Prepare and organise company documents and booklets, including photocopying, binding and laminating.
  • Travel & General Support: Arrange flights and assist with other administrative tasks as required by the business.
What We’re Looking For:
  • A minimum of 5 years’ experience in a similar office administration or administrative support role within the construction industry.
  • Excellent attention to detail with a high level of accuracy across administrative and financial tasks.
  • Strong IT skills and confidence using Microsoft Office and general office systems.
  • Excellent organisational and time-management skills.
  • Professional and approachable manner with strong communication skills.
  • Ability to work independently while also supporting a busy team environment.
