Qualifications

  • At least one year's administrative experience within a busy, service-focused environment, ideally in HR.
  • Confident across Microsoft 365, particularly Excel, Word, Outlook, Teams, SharePoint and PowerPoint.
  • A careful eye for detail so records stay accurate and procedures are followed correctly.
  • Strong organisation with multiple deadlines and priorities.
  • Clear communicator in writing and in person; able to answer everyday questions and escalate when needed.
  • Sound judgement around confidentiality and handling sensitive information.
  • Collaborative, adaptable approach; works well with managers, staff and external providers.
  • Proactive in picking up new systems and processes; spots what needs following up.
  • HR qualification in HR, business studies or administration.
  • Experience with HRIS platforms and recruitment portals.

Responsibilities

  • Run recruitment admin end to end: book interviews, prepare packs, run online sessions, notify candidates and complete reference checks.
  • Manage recruitment inbox and portal; post vacancies and maintain records of consents.
  • Handle new starters, moves and leavers; complete onboarding and exit admin; arrange IT equipment and system access.
  • Keep attendance and leave records up to date; manage annual leave balances, carryover and sick leave.
  • Prepare payroll, pension and reward information for sign-off; implement changes.
  • Produce standard HR letters from templates and route non-standard items for review.
  • Support retirement admin by tracking steps and booking courses.
  • Update HR systems and keep workforce data clean; spot gaps.
  • Pull routine reports for board reporting, leave balances, timesheets and pensions figures; respond to ad hoc requests.
  • Coordinate training admin: book courses, send reminders and track attendance and feedback.
  • Support early-careers programmes including internships and graduate intakes.
  • Draft HR notices and staff updates; keep intranet content current.
  • Organise meetings, committees and HR events; manage agendas and room bookings.
