Job summary

Eyre Square Hotel in Galway is seeking a hands-on Front Office Manager to lead the front office team and deliver an exceptional guest welcome. You will work with an experienced team and hotel manager to drive customer-focused standards.

You will coordinate front office functions, optimise guest experience from check-in to check-out, and collaborate with Sales and other departments to maximise occupancy and revenue while maintaining high data quality and staff development.

Qualifications

  • Experience in a similar role in hospitality with people management.
  • Strong management, leadership, organisation, time management and communication skills.
  • Budget and revenue understanding with a track record of delivering on budgets.
  • Knowledge of Opera or Hotsoft and hotel systems.
  • Proficiency in MS Word/Excel/Outlook.
  • Fluent English (written and oral).

Responsibilities

  • Coordinate all Front Office functions with a hands-on approach.
  • Reinforce a customer-focused approach within the Front Office Team.
  • Ensure smooth check-in/out and a positive guest experience.
  • Work with other departments to share accurate booking information.
  • Maintain data quality in the booking system for guest history and sales information.
  • Encourage guest feedback and address comments to improve service.
  • Monitor guest feedback trends and address service challenges.
  • Carry out additional duties requested by management related to hotel operations.
  • Ensure hotel standards are maintained at all times.
  • Collaborate with Senior Management to optimise sales and revenue growth.
  • Work with Sales on promotions, web providers, tour operators and website initiatives.
  • Ensure daily/weekly/monthly department reports are completed.
  • Coordinate and monitor all group reservations and guest cycle.
  • Maximise room and meeting room sales with yield management and partnerships.
  • Recruit, train, and develop staff with HR support.
  • Prepare rotas in advance to meet business demand.
  • Provide staff training through SOPs.
  • Ensure performance appraisals are carried out as required.
  • Attend Management meetings and training sessions.
  • Handle general administration duties.
  • Cover Duty Manager shifts.
  • Engage in ad hoc projects.
  • Comply with Fire, Health and Safety, Hygiene, Customer Care and Security.

Job description

The Eyre Square Hotel is looking for a Front Office Manager to join the Front Office team in Galway. The Front Office team are the first point of contact for guests and the Front Office Manager will work with the team to provide an exceptional welcome for all our guests and reinforce a strong customer focused approach.

This is a hands‑on role, working with a very experienced front office team & hotel manager. This role is best suited to a person with experience managing a team and with Front Office experience in a comparable hotel.

Your Responsibilities
  • Co-ordinate all functions of the Front Office with a hands‑on approach
  • Reinforcing a customer focused approach within the Front Office Team at all times
  • Work with the Front Office team to ensure all guest have a positive experience by delivering a smooth Check-In and Check-out process
  • Work closely with other departments to ensure booking information is shared and accurate
  • Ensure quality of data is maintained within the booking system enabling accurate guest history and sales information
  • Encourage guest feedback and implement a system for addressing comments to ensure guest satisfaction and continuous improvement
  • Monitor guest feedback trends, address challenges in service standards. Actively solicit guest opinion by ensuring a strong Front Office presence - meeting guests regularly
  • Carry out any additional duties requested by management, related to hotel operational activities
  • Ensuring that the standards of the Hotel are maintained at all time
  • Liaising with Senior Management on optimising sales and revenue growth
  • Work closely with Sales on Promotions, Web Providers, Tour Operators and Property Website initiatives
  • Ensuring that all daily / weekly / monthly reports for the department are completed
  • To co-ordinate and monitor all group reservation activities and guest cycle
  • Maximise room and meeting room sales for the Hotel, maximise the rooms yield by practising strong Yield Management & working in partnership with Reservations & Sales Team
  • Recruit, train, develop and monitor staff in conjunction with the HR department
  • Prepare rotas for the department in advance considering the business demand and to ensure that sufficient cover is available to meet those needs.
  • Responsibility for training and development of all staff through use of departmental SOPs.
  • Ensure that performance appraisals are carried out as and when required.
  • Attending Management meetings and training sessions as required
  • Handling general administration duties
  • Cover Duty Manager shifts as required
  • Ad hoc projects
  • Comply with company regulations regarding, Fire, Health and Safety, Hygiene, Customer Care and Security.
Experience and skills
  • Experience in a similar role in the hospitality industry with a track record of people management
  • Excellent Management, Leadership, Organisation, Time Management and Communication skills essential for the role
  • Understanding of budgets and revenue with a proven track record of delivering on budgets
  • Knowledge of Opera or Hotsoft and hotel systems would be an advantage and will be looked favourably on
  • Excellent knowledge of MS Word / Excel / Outlook.
  • Excellent communication and interpersonal skills
  • Communicate fluently in English (written & oral)
