Job summary

Fenergo is seeking a proactive Bid Coordinator to support end-to-end bid management from Dublin. You will coordinate inputs from Sales, Solutions, Engineering and Risk teams, ensuring timely, accurate responses and adherence to branding standards.

You will manage content in bid libraries, escalate risks early, and collaborate with regional sales to strengthen client proposals. A strong eye for detail and proficiency with Microsoft Office are essential.

Qualifications

• 2+ years’ experience in Bid coordination or similar project-based role.
• Excellent written and verbal communication skills.
• Ability to present written information in a professional and concise format.
• Ability to manage and prioritise workload effectively.
• Willingness to support team with variety of cases simultaneously and ability to handle competing deadlines.
• Strong attention to detail.
• Strong computer literacy, including Excel, Word, PowerPoint, Outlook packages.
• Experience in online proposal tools advantageous.
• Demonstrated mindset for continuous learning and knowledge transfer.
• Literacy in AI tooling.

Responsibilities

• Support the bid managers to fulfil the end-to-end Bid Management function by providing central management for global bid opportunity responses, including bid task assignment, tracking, collating, packaging, managing ad-hoc queries / request.
• Coordinate proposal input from a variety of stakeholders, typically involving contributions from Sales, Client Solutions, Engineering, Risk & Privacy, Security teams and more.
• Bring your organisational skills and effectively prioritise work to meet client deadlines.
• Ensure proposal documents follow corporate branding guidelines and quality standards by assisting the bid team in proof reading and formatting of proposal documents.
• Work closely with the Bid Managers to ensure key content is gathered, maintained and continuously updated in bid libraries using AI tools.
• Escalate to the Bid Management Team Lead if there are any risks, issues or dependencies which puts the submission timeline at risk.
• Attend Bid Sign On meetings, collate and distribute minutes / follow up actions.
• Support in managing and responding to the annual Vendor Due Diligence and Security assessments for our existing client base.
• Build strong relationships within the regional Sales teams, and our stakeholders.
