Job summary

SHW Journey Group is seeking a detail-oriented Document & Visa Officer to manage travel documents, visa applications, and related arrangements for guests on international departures. The role emphasizes accuracy in passport details, dates, and visa forms, with collaboration across sales, operations, and tour teams.

Qualifications

• Minimum education: Diploma / Bachelor’s Degree from any major.
• Experience in travel agency, visa processing, travel document administration, tour operations, or customer service is preferred.
• Strong attention to detail, especially in checking names, dates of birth, expiry dates, and visa forms.
• Able to work with deadlines, manage multiple departures, and stay organized under pressure.
• Good communication skills and basic computer skills, especially in Microsoft Office, Google Sheets, Google Drive, and email.

Responsibilities

• Manage guest travel documents, visa applications, travel insurance, and required supporting documents for international departures.
• Check the accuracy and completeness of guest documents, including passport validity, personal details, financial documents, and visa requirements.
• Prepare, submit, and monitor visa applications through embassies, visa centers, or official appointment systems.
• Follow up with guests regarding missing documents, revisions, biometric appointments, and visa status updates.
• Coordinate with sales, operations, and tour teams to ensure all guest documents are complete and ready before departure.
