Responsibilities include maintaining records, coordinating procurement and distribution, generating quotations, and ensuring timely dispatch of orders.

Qualifications

• Experience in spare parts administration or inventory management.
• Proficiency with inventory systems and MS Office (Excel, Word, Outlook).
• Excellent Bahasa Indonesia and English communication skills.

About the role

PT Sany Heavy Industry Indonesia is seeking a Spareparts Admin Specialist to join our team in South Sulawesi on a full-time basis. This role is pivotal to our operations, ensuring the seamless management of spare parts inventory and administrative processes. As a Spareparts Admin Specialist, you will be responsible for maintaining accurate records, coordinating spare parts procurement and distribution, and providing essential administrative support to our sales and client servicing teams. This position plays a critical role in optimising our supply chain efficiency and ensuring customer satisfaction through timely parts availability.

Key responsibilities

• Maintain and update spare parts inventory databases and records with accurate, real-time information
• Process spare parts orders from clients and internal departments, ensuring completeness and accuracy
• Coordinate with suppliers and logistics teams to manage spare parts procurement and delivery schedules
• Prepare quotations and documentation for spare parts sales transactions
• Track and monitor spare parts stock levels to prevent shortages and overstock situations
• Respond to client enquiries regarding spare parts availability, specifications and pricing
• Maintain organised filing systems for spare parts documentation, invoices and purchase orders
• Generate regular reports on spare parts transactions, inventory status and sales performance
• Support the sales team with administrative tasks related to client accounts and spare parts orders
• Liaise with warehouse and delivery teams to ensure timely despatch of spare parts orders

What we're looking for

• Proven experience in spare parts administration, inventory management or client sales administration
• Strong organisational and time management skills with the ability to manage multiple tasks simultaneously
• Proficiency in using inventory management systems and Microsoft Office applications (Excel, Word, Outlook)
• Excellent communication skills in Bahasa Indonesia and English, both written and verbal
• Attention to detail and accuracy in data entry and record-keeping
• Customer-focused approach with the ability to respond professionally to client enquiries
• Knowledge of spare parts and heavy equipment industry is advantageous but not essential
• Ability to work independently and as part of a team in a fast-paced environment
• Familiarity with procurement processes and supply chain operations is preferred
