BYD Group in Jakarta, Indonesia, seeks a proactive Personal Secretary to support senior executives, coordinate meetings, draft notices and reports, and safeguard confidential information.
The role requires fluent Chinese and Indonesian, strong communication, and the ability to translate documents; prior experience with Chinese enterprises overseas is preferred.
Coordinate the daily schedules of senior executives, organize internal and external business meetings, compile meeting minutes, and follow up on action items to ensure implementation.
Manage document circulation and archiving, organize and translate Chinese and English materials, draft routine documents such as notices and reports, and maintain comprehensive document records.
Serve as a liaison between internal departments and external partners; manage visitor接待, business coordination, ensure efficient information flow, and facilitate cross-departmental collaboration.
Handle travel arrangements, visa processing, and itinerary bookings for executives, ensuring smooth business logistics and effective control of related administrative expenses.
Assist in collecting business materials and reports, and complete other ad-hoc tasks assigned by senior management. Strictly safeguard the company’s commercial and confidential information.
Bachelor’s degree or above in Secretarial Studies, Administrative Management, Chinese Language
More than 1 year of experience as a personal secretary, administrative supervisor, or executive assistant to a general manager; prior experience working with Chinese enterprises overseas is preferred.
Strong communication, coordination, and interpersonal skills.
Detail-oriented, responsible, and able to work independently.
Able to work in a dynamic and fast-paced environment.
Strictly maintain confidentiality of core business, personnel, and financial information; refrain from disclosing internal information without authorization.
Preferred qualifications: Hold a valid driver’s license; familiar with Jakarta, Indonesia’s local traffic conditions; experience in financial industry business coordination; prior experience as a secretary in automotive or leasing companies.
Language Required: Fluent in both Chinese and Indonesian, with strong spoken communication skills in daily use and the ability to translate formal written documents between the two languages. Basic English reading and writing skills are a plus.
