About the Role
As Purchasing Manager, you will lead a team of 4 Purchasing Officers/Staff and oversee purchasing activities across our brands and outlets.
You will be responsible for balancing Cost, Quality, Availability and Control, ensuring food ingredients, packaging, operational supplies, equipment and other business needs are available on time, meet required specifications and quality standards, and are purchased at competitive costs.
Key Responsibilities
- Purchasing Strategy & Team Management: Develop and execute the group's Purchasing strategy while leading, coaching and evaluating the Purchasing team.
- Sourcing & Supplier Management: Source, evaluate and develop qualified suppliers, including maintaining alternative sources for critical categories.
- Negotiation & Contracts: Lead negotiations on pricing, payment terms, lead time, service levels and strategic purchasing contracts.
- Cost Control: Conduct cost analysis, monitor raw material price trends and manage Purchase Price Variance (PPV) while maintaining quality and availability.
- Supplier Performance: Develop and monitor supplier scorecards covering price, quality, delivery, responsiveness and issue resolution.
- Cross-Functional Collaboration: Work closely with Central Kitchen, Warehouse, PPIC, QA/QC, Finance and Operations to align purchasing, inventory and quality requirements.
- Process & Compliance: Ensure purchasing processes from PR and PO through receiving and invoice coordination are properly controlled, documented and aligned with ERP and company policies.
- Supply Risk Management: Identify and mitigate risks related to stockouts, price increases, single-source dependency and other supply disruptions.
- Reporting: Prepare regular reports on purchasing performance, cost savings, PPV, supply risks and supplier performance.
- Market & Supplier Visits: Conduct regular visits to suppliers, markets, Central Kitchen, warehouse and outlets to understand market conditions, product quality and operational needs.
Requirements
- Bachelor's degree in Supply Chain, Management, Engineering, Food Technology, Accounting or related fields.
- Minimum 7 years of experience in Purchasing/Procurement, with at least 3 years in a team leadership or managerial role.
- Minimum 3 years of hands-on experience in food purchasing within F&B multi-outlet, restaurant group, food manufacturing, catering or hotel environments.
- Strong understanding of fresh, chilled, frozen and dry food ingredients, including specifications, quality standards, shelf life and handling.
- Proven experience in supplier sourcing, qualification, tender, commercial negotiation, contracts and supplier performance management.
- Strong analytical skills with the ability to analyze purchasing data, consumption, pricing, market trends and cost structures.
- Proficient in Microsoft Excel (VLOOKUP/XLOOKUP, PivotTable and cost analysis) and experienced with ERP or procurement systems.
- Strong negotiation, communication, problem-solving and cross-functional collaboration skills.
- High integrity, proactive, detail-oriented and able to work effectively in a dynamic operational environment.
- English proficiency for business communication and commercial documentation.
- Mandarin proficiency and/or direct sourcing experience from China is a plus.
- Willing to travel to suppliers, markets, Central Kitchen, warehouse and outlets as required.
