Job summary

PT Tim Mitra Internasional is seeking a Property Administration Officer to support a Melbourne-based real estate client. The role requires highly organized professionals with fluent English and strong administrative skills to manage documentation, reporting, leases, and tenancy processes from our West Jakarta office.

Candidates with Mandarin are a plus and you will interact with tenants, clients and internal teams while maintaining confidential records and compliant procedures.

Qualifications

  • Bachelor’s degree (S1) or equivalent from a reputable university.
  • Fluency in English language in all aspects (mandatory).
  • Mandarin fluency is an advantage.
  • Experience in an administrative or customer service role.
  • Proficient in Microsoft Office and Google Workspace.

Responsibilities

  • Provide day-to-day administrative support to the office, including handling phone enquiries; screening, analysing, and responding to correspondence; resolving issues, and supporting team members in a professional and courteous manner.
  • Screen and process prospective tenant applications in accordance with internal procedures.
  • Prepare and process lease agreements, tenancy documentation, notices, and other related correspondence.
  • Maintain and update property management systems and internal databases accurately and in a timely manner.
  • Assist with monitoring rent arrears, coordinating rent reviews, managing maintenance requests and scheduling property inspections.
  • Act as a secondary point of contact for administrative matters, liaising with internal departments and external stakeholders on operational matters.
  • Maintain accurate and well-organised digital filing systems.
  • Ensure compliance with internal procedures and relevant legislative requirements.
  • Assist with projects and initiatives as assigned by management, demonstrating flexibility and willingness to contribute to company goals.
  • Perform general secretarial and clerical duties as required.

The Role

We are seeking a highly organised and professional Property Administration Officer with excellent customer service skills and a keen eye for detail to join our dynamic team. This role is ideal for a proactive individual who will provide vital administrative support to the property management team and clients, ensuring that all tasks are completed accurately, efficiently, and professionally.

This role combines administrative and organisational responsibilities, supporting the overall operations of the property management department. You will be responsible for a variety of complex administrative tasks, many requiring discretion and confidentiality, such as managing documentation, assisting with reporting, coordinating communications, and supporting lease and tenancy processes. The position requires a high level of independence, strong judgment, and the ability to make decisions within the scope of your delegated responsibilities.

To be successful in this role, you must be fluent in English, with the ability to communicate clearly and professionally with a diverse range of clients, tenants, and stakeholders.
Fluency in Mandarin will be a definite plus point.

Skills and Requirements
  • Minimum Bachelor’s Degree (S1) or equivalent (D4) from a reputable university, majoring in Office Administration or related field;
  • Fluency in ENGLISH LANGUAGE in all aspects (MANDATORY);
  • Fluency in MANDARIN is a definite advantage;
  • Experience in an administrative or customer service role;
  • Proficient in Microsoft Office and Google Workspace;
  • Strong attention to detail;
  • Excellent communication skills and the ability to work both collaboratively in a team environment and independently;
  • Efficient and well-organised;
  • Able to effectively manage and prioritise multiple projects; and
  • A positive and can-do attitude.
Working Arrangement

Working hours: 07.00 AM - 03.30 PM, Monday to Friday ONLY;

Public Holidays: follow Victoria State (Australia) calendar; and

Work from Office (West Jakarta).
