Pengiklan Anonim in Jakarta is seeking a dedicated Project Assistant/Coordinator to support the Owner and BOD in managing government projects. You will organize and archive project documents, prepare minutes and reports, and support tender documentation.
The role requires strong administrative skills, excellent communication, and ability to coordinate with internal teams and government stakeholders. Based in Jakarta with on-site responsibilities.
Provide relation support to the Owner / BOD (Board of Director) in managing government projects.
Prepare, organize, maintain, and archive all project documents systematically.
Assist in preparing correspondence, proposals, quotations, minutes of meetings, reports, and other supporting documents.
Maintain proper and organized project documentation for easy access by relevant teams.
Assist the Owner / BOD (Board of Director) in coordinating with internal teams and external stakeholders.
Support communication and coordination with government institutions and related stakeholders.
Arrange meetings, site visits, presentations, and other project-related activities.
Prepare meeting minutes and monitor the follow-up of action items.
Follow up on requests, requirements, and information from project stakeholders.
Assist in monitoring project progress against agreed timelines, milestones, and targets.
Maintain and regularly update project trackers.
Identify administrative or operational issues and elevate them to the Owner / BOD (Board of Director).
Monitor task completion and ensure activities are carried out according to the project schedule.
Prepare regular project progress reports for internal management and relevant stakeholders.
Assist in identifying and gathering information related to government tenders and procurement opportunities.
Support the preparation of administrative documents required for tenders and government procurement.
Check the completeness and accuracy of documents prior to submission.
Monitor tender schedules, deadlines, and procurement processes.
Coordinate with Sales/Marketing, Legal, Finance, Procurement, and Technical teams regarding project documentation and requirements.
Maintain professional communication and coordination with government representatives and stakeholders.
Assist in preparing meeting materials, presentations, and other documents required by government stakeholders.
Follow up on requests and information from government institutions and coordinate them with the relevant internal teams.
Maintain professional communication and business ethics when dealing with government stakeholders.
Prepare regular project activity and progress reports.
Prepare project status reports for the Management and Owner / BOD (Board of Director).
Maintain accurate databases of projects, stakeholders, documents, timelines, and activities.
Assist in tracking project costs, purchase orders, invoices, and other supporting documents when required.
Ensure all project data and reports are accurate, complete, and up to date.
Minimum Diploma (D3) or Bachelor’s Degree (S1) in Business Administration, Management, Engineering, Communication, Secretarial Studies, or a related field.
Minimum 5 - 10 years of experience as a Project Assistant, Project Manager, Marketing Project, or in a similar role.
Experience handling government projects, SOEs, regional government-owned companies, Police, Military, or other institutional projects is an advantage.
Experience in government tender or procurement administration is highly preferred.
