Your Contribution:
As our Procurement Assistant Manager, you will be responsible for managing and overseeing the procurement of goods and services for both The Cakap Group's internal operational needs and our hospitality client projects. This includes sourcing office supplies, operational equipment, furniture, fixtures, kitchen equipment, F&B supplies, and other project-related requirements while ensuring cost efficiency, quality, and timely delivery.
As a managerial-level role, you will be expected to work independently, take ownership of the procurement process, and make sound procurement decisions within company policies, budgets, and approval guidelines. You will work closely with internal departments, project teams, Finance, and suppliers to ensure procurement activities support smooth business operations and successful project execution.
Manage the end-to-end procurement process for internal operational requirements and client projects.
Independently manage purchasing requirements from sourcing and quotation comparison through negotiation, supplier selection, purchase order, and delivery.
Make appropriate procurement decisions based on price, quality, specifications, lead time, supplier reliability, and business requirements.
Source, evaluate, and negotiate with local and international suppliers to obtain the best value in terms of quality, pricing, payment terms, and delivery.
Handle procurement of office supplies, operational equipment, furniture, fixtures, kitchen equipment, restaurant supplies, F&B items, and other project-related materials.
Request, compare, and evaluate supplier quotations and provide recommendations to ensure cost-effective purchasing decisions.
Build, develop, and maintain strong relationships with vendors, contractors, and suppliers.
Identify and evaluate new suppliers and alternative sourcing options to improve pricing, quality, availability, and procurement efficiency.
Issue Purchase Orders (POs) and ensure procurement documentation is complete, accurate, and properly authorized.
Coordinate with Finance to ensure purchasing activities comply with approved budgets, payment procedures, and company policies.
Monitor supplier performance, delivery schedules, product quality, and agreed commercial terms.
Track order status and proactively resolve delivery, quality, pricing, or supplier-related issues.
Maintain accurate procurement records, supplier databases, pricing information, and purchasing reports.
Collaborate with Operations, Project Management, Finance, and other departments to understand current and upcoming procurement requirements.
Ensure procurement activities comply with company policies, approval procedures, and applicable regulations.
Identify opportunities for cost savings, process improvements, strategic sourcing, and better procurement practices.
Monitor procurement spending against approved budgets and highlight potential cost overruns or savings opportunities.
Take ownership of procurement issues and provide practical solutions with minimal supervision.
Supervise and support purchasing staff when required.
Provide regular procurement updates, recommendations, and relevant supplier or purchasing insights to management.
Qualifications:
Minimum Diploma or Bachelor’s Degree in Supply Chain Management, Business Administration, Hospitality Management, or a related field.
Minimum 3-5 years of experience in purchasing, procurement, or supply chain, preferably within hospitality, construction, F&B, or project-based industries.
Previous experience in a senior purchasing, procurement, supervisory, or managerial-level role is preferred.
Strong knowledge of end-to-end procurement processes, sourcing, vendor management, and negotiation techniques.
Experience handling both internal/operational and project procurement is highly preferred.
Strong commercial awareness and ability to evaluate price, quality, lead time, and overall value.
Demonstrated ability to work independently, take ownership, and make sound procurement decisions with minimal supervision.
Excellent negotiation, communication, and interpersonal skills.
Strong analytical, organizational, problem-solving, and decision-making abilities.
Proficient in Microsoft Office (especially Excel) and procurement or ERP systems.
Able to manage multiple purchasing requests and priorities simultaneously while meeting deadlines.
High level of integrity, attention to detail, accountability, and professionalism.
Good written and spoken English is an advantage.
Experience in hospitality procurement is a strong plus.
