A Personal Assistant (Male) provides administrative support to our owner, helping to manage day-to-day activities and ensuring smooth operations.
Job Summary
The Personal Assistant will provide comprehensive administrative and personal support to the employer, ensuring effective management of their daily activities, appointments, correspondence, and other duties as required. The assistant will be a key point of contact between the employer and various stakeholders.
Key Responsibilities
1. Calendar and Schedule Management
- Manage the owner's calendar, including appointments, meetings, and personal events.
- Remind the employer of important tasks and deadlines.
2. Correspondence Handling
- Handle phone calls, emails, and other forms of communication on behalf of the employer.
- Respond to inquiries, prioritize requests, and draft responses as necessary.
- Organize and maintain digital and paper correspondence.
3. Administrative Support
- Perform general office duties such as filing, organizing documents, and maintaining records.
- Assist with data entry, report preparation, and other administrative tasks.
- Prepare presentations, meeting agendas, and relevant materials for meetings.
4. Personal Tasks
- Assist with personal errands such as shopping, managing household services, and other non-work-related tasks.
- Coordinate with vendors, service providers, or contractors for personal or household matters.
5. Travel and Event Coordination
- Plan and coordinate business and personal travel arrangements, including accommodations, itineraries, and meetings.
- Organize events, meetings, and conferences, managing logistics and ensuring everything runs smoothly.
6. Confidentiality and Discretion
- Maintain a high level of confidentiality regarding sensitive information.
- Act with discretion and professionalism at all times.
7. Monitoring and Reporting
- Keep track of tasks, deadlines, and follow up on any pending matters.
- Prepare reports or summaries for the employer when necessary.
- Ensure the smooth operation of the employer’s day-to-day affairs.
Requirements
- Proven experience as a Personal Assistant or in a similar administrative role.
- Speak English fluently.
- Proficient in Microsoft Office especially Excel.
- Must have an active Driver license.
- Educational backgorund as F & B School or Hospitality is a plus.
- Had experience handling Villa or Restaurant in Bali.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to prioritize tasks and work independently.
- Strong attention to detail and ability to maintain confidentiality.
- Flexibility and adaptability in a fast-paced environment.
Preferred Skills
- Experience in managing travel arrangements and scheduling.
- Familiarity with using project management tools or systems.
- Multitasking ability, with a professional and calm demeanor in stressful situations.
