Job summary

Jakarta Intercultural School is seeking a Payroll Officer to manage accurate and timely payroll for 600+ employees across multiple groups in Jakarta. You will work with Human Resources and the Business Office to ensure payments and records match approved payroll totals.

The role requires 3+ years of payroll or HR/finance operations experience, proficiency with Excel or Google Sheets, and Oracle HRIS experience.

  • Experience using payroll or HRIS systems; Oracle experience preferred.
  • Strong numerical, analytical, and problem-solving skills, with excellent attention to detail.
  • Proficiency in Microsoft Excel or Google Sheets.
  • Ability to manage multiple payroll cycles and meet strict deadlines.

Responsibilities

  • Process payroll for all assigned employee groups in accordance with approved payroll calendars.
  • Review approved payroll instructions and enter salary changes, allowances, deductions, overtime, variable pay, and other payroll items.
  • Check payroll inputs and outputs for completeness, accuracy, and unusual variances.
  • Investigate discrepancies and process approved corrections.
  • Prepare payroll reports for review and approval.
  • Maintain clear documentation of payroll changes, approvals, and corrections.
  • Prepare and upload payroll bank transfer files after obtaining the required HR and Finance approvals.
  • Verify that payment files agree with the approved payroll and follow up on rejected or incorrect transactions.
  • Prepare overseas salary and retirement contribution payments using approved information and exchange rates.
  • Confirm that completed transfers agree with approved payroll totals.
  • Provide accurate payroll and payment information to the Business Office for financial recording and reconciliation.
  • Assist Human Resources and the Business Office in resolving differences between payroll reports, payments, and financial records.
  • Prepare payroll data required by Human Resources for PPh 21, Benefit-in-Kind, BPJS, retirement contributions, and other applicable requirements.
  • Process approved statutory deductions, benefits, and other employee transactions.
  • Serve as a point of contact for routine employee payroll inquiries.
  • Refer matters involving policy, compensation decisions, benefits eligibility, statutory compliance, or authorization to the appropriate HR or Business Office representative.
  • Publish payslips and communicate payroll schedules and deadlines.

Job description

The Payroll Officer is responsible for the accurate and timely processing of payroll for more than 600 JIS employees across multiple payroll groups. The role manages payroll data, prepares payments and reports, maintains payroll records, and responds to employee inquiries. Working within Human Resources and in coordination with the Business Office, the Payroll Officer ensures that approved payroll amounts are paid correctly and that information provided for financial recording agrees with payments made.

QUALIFICATIONS, EXPERIENCES, AND ATTRIBUTES

Bachelor’s degree in Human Resources, Business Administration, Finance, Accounting, or a related field.

Minimum 3 (three) years of relevant payroll, HR operations, or finance operations experience.

Experience processing payroll in a high-volume or complex organization.

Experience using payroll or HRIS systems; Oracle experience is preferred.

Strong numerical, analytical, and problem-solving skills, with excellent attention to detail.

Proficiency in Microsoft Excel or Google Sheets.

Ability to manage multiple payroll cycles and meet strict deadlines.

Strong communication and collaboration skills.

High standards of integrity, confidentiality, accuracy, and service.

Experience with multi-currency payroll is preferred.

DUTIES AND RESPONSIBILITIES
Payroll Processing and Verification

Process payroll for all assigned employee groups in accordance with approved payroll calendars.

Review approved payroll instructions and enter salary changes, allowances, deductions, overtime, variable pay, and other payroll items.

Check payroll inputs and outputs for completeness, accuracy, and unusual variances.

Investigate discrepancies and process approved corrections.

Prepare payroll reports for review and approval.

Payments and Reporting

Prepare and upload payroll bank transfer files after obtaining the required HR and Finance approvals.

Statutory and Employee Support

Controls and Collaboration

Maintain accurate and confidential payroll records in accordance with internal controls and record-retention requirements.

Provide payroll documentation for internal and external audits.

Follow established approval requirements and segregation of duties.

Escalate significant discrepancies, control issues, and recurring process concerns to the Head of Human Resources.

Work closely with Human Resources and the Business Office to improve payroll accuracy and efficiency.

Participate in payroll-system testing and process improvements as required.
