Responsibilities

• Document Management: Prepare CIPL, DHL AWB, and MTO documents.
• Shipment Tracking & Coordination: Monitor delivery status and coordinate with service providers.
• Data Entry & Upkeep: Maintain tracking logs and update the inventory system.
• Goods Receipt & Retrieval: Process GRN across systems and assist with physical inventory.
• Vessel Documentation & Certificates: Manage vessel documents and certificates.
• Reporting & Dashboards: Generate operational reports and update dashboards.
• Vessel Communication: Interface with vessels for daily operational reports.
• Administrative: Code invoices and secure approvals in Autocount, prepare PR.

WE ARE HIRING: Operations Logistics Staff

About the Role

We are looking for a dedicated and organized Operation & Logistics Staff to join our team in Batam. In this role, you will work closely with our Logistics Executive, Base Manager, and the Operations, Technical, and QHSE teams to ensure smooth day-to-day operations and supply chain workflows.

Key responsibilities

Document Management: Assist in preparing CIPL (Commercial Invoice & Packing List), DHL Air Waybills (AWB), and MTO (Multimodal Transport Operator) documents.

Shipment Tracking & Coordination: Monitor shipments on delivery status and coordinate closely with service providers to guarantee timely deliveries.

Data Entry & Upkeep: Maintain tracking logs, upload supporting documents, and upkeep the inventory system.

Goods Receipt & Retrieval: Perform Goods Receipt Notes (GRN) across Autocount, Smartpal, and upcoming software systems; assist the Base Manager with physical inventory retrieval when needed.

Operations

Vessel Documentation & Certificates: Contribute to the comprehensive management of all vessel documentation and statutory certificates.

Reporting & Dashboards: Help generate operational reports and keeping internal dashboard and databases up to date.

Vessel Communication: Support the Operations Department by interfacing directly with vessels and collecting daily operational reports.

Administrative: Code invoices related to vessel expenses, operations, and technical matters; secure approvals in Autocount and prepare Purchase Requisitions (PR).

Requirements & Qualifications
