We are looking for an HRGA / Japanese Interpreter who will be responsible for providing Japanese–Indonesian interpretation and translation, supporting communication between Japanese management, expatriates, local employees, and Head Office (HQ).
In addition to interpretation, this position will handle various HR, General Affairs (GA), expatriate administration, recruitment support, corporate event, and HQ reporting activities.
The ideal candidate should be able to communicate effectively in Japanese and Indonesian, coordinate with multiple stakeholders, and provide administrative support in a Japanese corporate environment.
Key Responsibilities
- Provide Japanese–Indonesian and Indonesian–Japanese interpretation during management meetings, discussions, and other business activities.
- Act as an interpreter between Japanese management/expatriates and local employees who do not speak Japanese.
- Translate HR-related documents, contracts, announcements, and other documents requested by management.
- Support communication and coordination between Japanese management, local employees, expatriates, and HQ.
2. HR Administration & Recruitment
- Support employee recruitment activities, including coordination of recruitment processes and communication with relevant stakeholders.
- Prepare and submit HR data and reports to HQ accurately and on time.
- Handle employee leave applications and related HR administration.
- Coordinate and administer secondment agreements for local employees and expatriates.
- Coordinate service agreements with third-party vendors related to HR/GA activities.
- Provide HR administrative support as required by management.
- Coordinate and support Japanese expatriates regarding administrative and HR-related matters.
- Handle arrangements for Japanese guests and visitors, including visa coordination, hotel reservations, transportation, meeting room arrangements, and meeting schedules.
- Support communication between expatriates, local employees, and management.
4. Business Trip & Travel Administration
- Arrange business trip requirements, including flight tickets, hotel accommodations, and rental cars.
- Calculate and prepare business trip allowances before employees travel.
- Review and process business trip expense reports after completion of the trip.
- Manage and coordinate driver schedules and transportation arrangements.
- Coordinate company events and employee activities.
- Support office and general administrative matters as required.
6. Corporate & Management Support
- Coordinate and support the Annual General Meeting of Shareholders (RUPS) together with the Finance team.
- Support internal audits conducted by HQ in coordination with the Finance team.
- Coordinate and follow up on administrative matters requested by Japanese management and HQ.
7. IT & System Coordination
- Coordinate with HQ IT regarding the Garoon system and related matters.
- Act as the PIC for creating and managing employee email accounts and Garoon accounts.
- Coordinate with HQ IT for account creation, access, and system-related matters when employees join or leave the company.
Key Qualifications
- Proficient in Japanese and Indonesian, both spoken and written.
- Strong Japanese–Indonesian interpretation and translation skills.
- JLPT N2 certification is preferrred.
- Experience in HR, General Affairs, administration, or a Japanese company environment is preferred.
- Experience supporting Japanese expatriates or working directly with Japanese management is an advantage.
- Good organizational, coordination, and communication skills.
- Able to manage multiple tasks and priorities effectively.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Detail-oriented, responsible, proactive and able to work independently.
- Good interpersonal skills and comfortable communicating with employees at various levels.
