Job summary

PT Seaboard Marine And Offshore Solutions is seeking a capable HR & Admin specialist to manage employee records, payroll inputs, recruitment coordination and onboarding. The role also covers foreign worker administration (RPTKA/KITAS), site attendance and project admin tasks.

The ideal candidate holds a Diploma or Bachelor’s in HR/BA/Accounting or related field, with at least 2 years’ experience in HR or accounting, and proficiency in Excel. Indonesian BPJS and payroll knowledge are valued.

Qualifications

• Diploma (D3) or Bachelor's Degree in HR, Business Administration, Accounting, Management, Finance or related field.
• Minimum 2 years of experience in HR, administration and/or accounting.
• Experience in marine, shipyard, offshore or industrial environments is an advantage.
• Good knowledge of Indonesian employment regulations and BPJS procedures.
• Familiarity with payroll, PPh 21 and basic accounting processes.
• Experience with RPTKA/KITAS administration is an advantage.
• Proficient in Microsoft Office, particularly Excel.
• Experience with HRIS, payroll or accounting software is an advantage.
• Fluent in Bahasa Indonesia and English, both written and spoken.

Responsibilities

• Manage employee records, contracts, HR database and personnel documentation.
• Prepare employment letters, appointment letters, warning letters and other HR documents.
• Manage employee attendance, leave, overtime and payroll inputs.
• Support recruitment, interview coordination, onboarding and employee induction.
• Support foreign worker administration, including RPTKA, KITAS and related documentation.
• Monitor employee certifications, medical fitness and document expiry dates.
• Support employee relations, disciplinary matters and grievance documentation.
• Ensure HR records and practices comply with applicable Indonesian regulations.
• Prepare HR, manpower and administrative reports for management.
• Assist with preparation and processing of invoices, payment vouchers and supporting documents.
• Support accounts payable and accounts receivable tracking.
• Maintain petty cash and basic transaction records.
• Check invoices and supporting documents before submission for approval.
• Assist with expense claims, reimbursements and financial documentation.
• Support Finance with basic reconciliation and monthly reporting.
• Maintain proper filing of accounting and financial documents.
• Maintain project manpower lists and employee deployment records.
• Coordinate project manpower mobilisation and demobilisation.
• Monitor site attendance, timesheets and overtime records.
• Prepare personnel documents required for shipyard/project site access.
• Coordinate with project/site teams on manpower, attendance and employee-related matters.
• Provide administrative support during project mobilisation and client audits.
