Alpaca Connect Sdn Bhd in Batam Centre, Indonesia, seeks an HR Administrator to manage end-to-end recruitment, onboarding, payroll processing, and employee records. The role supports compliance with Indonesian labour regulations and requires clear communication in English and Bahasa Indonesia.
The ideal candidate will have 1–2 years of HR experience, familiarity with HRIS/payroll systems, and a professional approach to confidentiality.
Manage end-to-end recruitment for operational and office positions.
Partner with hiring managers to understand staffing needs and job requirements.
Source, screen, interview, and shortlist candidates based on job requirements.
Coordinate interview schedules with hiring managers and candidates.
Ensure a positive candidate experience throughout the hiring process.
Coordinate the onboarding process for new employees.
Prepare and verify monthly payroll data, including basic salary, unpaid leave, commissions and other payroll adjustments.
Monitor attendance, leave, and other payroll-related information to ensure accurate salary calculations.
Coordinate monthly salary processing and ensure payroll is completed within the scheduled timeline.
Assist with PPh 21 payroll tax-related administration and coordination.
Coordinate the calculation and payment of THR and other applicable employee entitlements.
Maintain accurate and up-to-date employee records and personnel files.
Prepare employment contracts, including PKWT, PKWTT, probation, and confirmation letters.
Manage employee transfers, promotions, salary adjustments, and other employment-related documentation.
Maintain confidentiality of employee and company information.
Ensure HR documentation is properly filed and updated.
Ensure timely submission and maintenance of required statutory employee information.
Monitor compliance with applicable Indonesian labour laws and Manpower regulations.
Assist with government reporting, audits, and other statutory requirements when required.
Monitor and maintain employee attendance, leave, and absenteeism records.
Handle employee attendance issues and other HR-related concerns.
Support disciplinary processes in accordance with company policies and applicable regulations.
Manage employee grievances and assist in resolving workplace issues.
Maintain proper records of disciplinary and employee relations cases.
Coordinate probation reviews, employee confirmations, and performance evaluations.
Support managers in implementing employee performance management processes.
Organize employee engagement, welfare, and internal HR activities.
Support initiatives that improve employee satisfaction and workplace culture.
Manage employee resignation and offboarding processes.
Prepare resignation acceptance letters, clearance documentation, and other required documents.
Coordinate employee handover and exit procedures.
Assist with final salary, outstanding benefits, and other applicable employee entitlements.
Prepare monthly HR reports, including headcount, turnover, attendance, leave, and recruitment status.
Maintain and update employee information in the HRIS and other HR systems.
Develop, review, and update HR policies, procedures, and SOPs.
Assist management with HR-related reports, analysis, and recommendations.
Support internal and external HR audits when required.
Bachelor’s Degree in Human Resources Management, Business Administration, Management, or any related field.
Minimum 1–2 years of experience in HR administration or a similar HR role.
Good communication and interpersonal skills, with the ability to communicate effectively in English and Bahasa Indonesia.
Good understanding of Indonesian employment regulations, HR practices, and employee administration.
Experience using HRIS or payroll systems is an added advantage.
Able to maintain confidentiality and handle sensitive employee information professionally.
Willing to work in Batam Centre, Indonesia.
