Job summary

Exabytes is seeking an AI-enabled Workplace Experience, Procurement & People Executive to join our Jakarta team. You will support People Operations, workplace experience, and office administration, driving efficient processes while enhancing the employee experience with AI tools.

You will manage HR operations, facilities, procurement, and vendor coordination, ensuring accuracy, compliance, and outstanding service.

Qualifications

• Diploma or bachelor’s in HR, business, psychology, management or related field.
• 2–3 years in HR operations, admin, workplace experience, office management, or procurement/administrative support in a similar role.
• Highly organised with strong attention to detail and accuracy.
• Procurement knowledge: sourcing quotations, coordinating vendors, preparing POs, and maintaining procurement records.
• Proactive, dependable, and committed to delivering excellent employee service.
• Passionate about creating positive employee experiences and engaging workplace.
• AI-enabled mindset, comfortable using AI tools to improve productivity.
• Good English communication is an added advantage.

Responsibilities

• Support day-to-day HR operations, attendance, leaves, employee records, onboarding and offboarding.
• Manage facilities, meeting rooms, pantry, assets, and vendor coordination to create a productive workplace.
• Assist procurement activities: source quotations, create PRs/POs, coordinate vendors, maintain records.

What You’ll Do :

People Operations

Support day-to-day HR operations, including attendance, leave administration, employee records, onboarding, offboarding, and other employee lifecycle activities while ensuring accuracy and compliance.

Workplace Experience

Create a professional, welcoming, and productive workplace by managing office facilities, meeting rooms, pantry, office assets, workplace readiness, and vendor coordination.

Procurement & Administration

Support procurement activities by sourcing quotations, preparing purchase requests and purchase orders, coordinating vendors, maintaining procurement records, and ensuring smooth office operations.

Employee & Business Support

Provide professional support to employees, candidates, visitors, vendors, and business partners by delivering timely assistance and ensuring an excellent service experience.

AI-Enabled Operations

Leverage HRIS, AI tools (such as Claude, Copilot, and Lark AI), and digital workplace platforms to automate routine tasks, improve efficiency, and continuously enhance operational processes.

Identify opportunities to improve workplace processes, contribute new ideas, embrace continuous learning, and demonstrate Exabytes’ ACTION values in everything you do.

What We’re Looking For

Education: Diploma or Bachelor’s Degree in Human Resources, Business Administration, Psychology, Management or a related field.

HR & Administrative Experience: 2–3 years of experience in HR Operations, HR Administration, Workplace Experience, Office Management, or procurement/administrative support in a similar role.

Organisation & Accuracy: Highly organised with strong attention to detail and accuracy.

Procurement Knowledge: Familiar with procurement processes, including sourcing quotations, coordinating vendors, preparing purchase requests/purchase orders, and maintaining procurement records.

Ownership & Service Excellence: Proactive, dependable, and committed to delivering excellent employee service.

Employee Experience: Passionate about creating positive employee experiences and building an engaging workplace.

AI-Enabled Mindset: Comfortable adopting AI tools such as ChatGPT, Claude, Copilot, Gemini, or similar to improve productivity and streamline workflows.

Communication: Good communication skills in English is an added advantage.
