Job summary

DT Global Asia Pacific is seeking a Grant Coordinator in Jakarta to support the KITA SEHAT program. You will manage donor-funded grant processes from applicant selection through contracting, monitoring, and close-out, ensuring compliance with CGRP, manuals, and reporting requirements.

The role requires at least seven years in grant management, strong coordination and communication skills, and fluency in English and Bahasa Indonesia.

Qualifications

• University degree or post graduate degree in a field relevant to the position
• Minimum 7 years’ relevant experience in grant management of donor‑funded programs, or a related field.
• Demonstrated experience managing the grant lifecycle, including grant application review, selection, due diligence, contracting, payments, monitoring, amendments, reporting, and close‑out.
• Experience monitoring grantee performance, compliance, deliverables, expenditure, and reporting requirements.
• Good knowledge of grant compliance, financial management, and documentation requirements.
• Skilled in writing requests for proposals and selection report including ability to develop selection criteria and submission requirements for competitive procurement process.
• Ability to work independently with minimum supervision, exercise sound judgement, and manage competing priorities.
• Strong coordination, communication, administrative, analytical skills and stakeholder management skills.
• Fluency in both written and spoken English and Bahasa Indonesia is essential.

Responsibilities

• Manage KITA SEHAT’s end-to-end grant management process, from identifying grant opportunities and selecting applicants through contracting, implementation, monitoring, amendments, and close‑out.
• Coordinate grant selection processes, including applicant communication, evaluation, due diligence, and complete documentation of selection decisions.
• Coordinate the preparation, review, and finalisation of grant agreements, amendments, extensions, budget revisions, and other contractual variations.
• Build partners’ capacity in reporting, financial management, internal controls, fraud prevention and reporting, contractual obligations, and donor compliance.
• Work closely with the technical team to monitor grant activities, milestones, deliverables, budgets, and reporting requirements, and follow up on implementation issues.
• Review grantee reports, payment requests, and supporting documentation; follow up on outstanding requirements and coordinate payment processing with the Finance team.
• Ensure efficient use of grant funds, avoidance of unnecessary costs, and appropriate management of liabilities through accurate expenditure records, effective grantee internal controls, and timely responses to audits and reviews.
• In consultation with the Procurement and Administration Manager, maintain and propose updates to the KITA SEHAT Grant Manual, templates, tools, and procedures to strengthen grant management systems.
• Provide day‑to‑day guidance, coaching, and mentoring to program staff on grant administration and compliance with organisational policies, donor requirements, and approved procedures.
• Manage assigned responsibilities with minimal supervision, exercise sound judgement, and coordinate proactively with relevant teams to ensure timely delivery.
