Qualifications

• 3–5 years of patent administration experience, preferably with an IP law firm, patent agency, corporate IP department, or annuity service provider.
• Experience handling patent grant formalities and annuity payments.
• Good working knowledge of Indonesian patent procedures, deadlines and post-grant requirements.
• Experience using an IP docketing or case-management system is strongly preferred.
• Bachelor's degree in Law, Business Administration, Management, Science, Engineering, or related field.
• Strong written and spoken English and Bahasa Indonesia.

AFFA Intellectual Property Rights is seeking an experienced and highly organized Senior Patent Paralegal to manage patent grant formalities, annuity payments, and post-grant administration for our Indonesian and international clients. This role requires strong knowledge of patent procedures, excellent deadline management, and meticulous attention to detail. The successful candidate will independently handle a substantial patent portfolio while coordinating closely with clients, patent attorneys, foreign associates, government authorities, and our internal finance and operations teams.

Key responsibilities

• Review notices of allowance and patent grant decisions and identify all required actions and deadlines.
• Report allowance and grant decisions to clients clearly and promptly.
• Request and follow up on client instructions regarding grant fees and post-grant requirements.
• Prepare and process payment of patent grant, publication, and other official fees.
• Review granted patent documents and certificates to ensure the accuracy of bibliographic information.
• Coordinate the issuance, collection, and delivery of patent certificates and related documents.
• Handle corrections, recordals, and other post-grant formalities where required.
• Maintain complete and accurate records of all grant-stage correspondence and documents.
• Manage patent annuity and maintenance-fee deadlines for a large portfolio of Indonesian patents.
• Calculate annuity amounts accurately, including accumulated annuities, penalties, and applicable official fees.

About you

• Minimum 3–5 years of relevant experience handling patent administration, preferably with an intellectual property law firm, patent agency, corporate IP department, or annuity service provider.
• Demonstrated experience handling patent grant formalities and annuity payments.
• Good working knowledge of Indonesian patent procedures, official deadlines, and post-grant requirements.
• Experience using an IP docketing or case-management system is strongly preferred.
• Bachelor's degree in Law, Business Administration, Management, Science, Engineering, or another relevant discipline.
• Strong written and spoken English and Bahasa Indonesia.
• Proficiency in Microsoft Excel, Word, Outlook, and document-management systems.
• Exceptional attention to detail and numerical accuracy.
• Strong deadline-management and organizational skills.
• Ability to manage a high-volume portfolio and multiple urgent matters simultaneously.
