This role supports the Intellectual Property practice by coordinating administrative processes, managing case-related information, and ensuring matters progress efficiently from initiation to completion.
Requirements
Prior experience in an IP law firm or legal department handling IP matters is preferred. Candidates with legal secretarial or administrative experience are also welcome.
Diploma (D3) in Administration, Secretarial Studies, or a related field. Candidates with a Bachelor’s degree (S1) in any field are also welcome.
Strong attention to detail and accuracy.
Ability to manage multiple tasks efficiently and meet deadlines.
Strong ability to monitor deadlines and maintain accurate docket records.
Excellent organizational and time-management skills.
Strong written and verbal communication skills.
Ability to work effectively both independently and as part of a team.
Strong command of written and spoken English, with the ability to draft and review professional correspondence.
Proficiency in Microsoft Office and general office administration is preferred.
Responsibilities
Prepare invoices and handle administrative matters relating to IP prosecution and litigation.
Prepare, arrange, and coordinate the submission and delivery of documents to clients, the Indonesia IP Office, and other relevant parties.
Coordinate with the Indonesia IP Office, notaries, sworn translators, and other external vendors in relation to IP matters.
Maintain and update the IP docketing system to monitor deadlines, case status, and other important case-related information.
Proofread and translate documents between Indonesian and English.
Assist associates and other team members with administrative and procedural matters relating to IP prosecution and litigation.
Prepare and organize correspondence, forms, supporting documents, and other materials required for IP matters.
Maintain accurate and up-to-date physical and electronic case files.
