MS Group is seeking a Document Control professional to join our team on a contract basis. This role is based in South Jakarta, Jakarta and plays a vital part in maintaining the integrity, accessibility, and compliance of our documentation systems. As Document Control, you will be responsible for managing, organising, and controlling all documents within the organisation, ensuring that critical information is properly stored, tracked, and distributed to relevant stakeholders. This position is essential to our operational efficiency and supports our commitment to maintaining high standards of information management and regulatory compliance.
Developing and implementing document control policies, procedures, and standards across the organisation
Creating, maintaining, and updating a comprehensive document management system that ensures easy retrieval and accessibility
Receiving, cataloguing, indexing, and filing documents in accordance with established protocols
Managing document versions and ensuring that all outdated or superseded documents are properly archived or destroyed
Distributing documents to authorised personnel and tracking document circulation
Maintaining accurate records of all document transactions and maintaining audit trails
Ensuring compliance with regulatory requirements and industry standards related to document management
Supporting document control audits and providing regular reports on document management activities
Training staff on document control procedures and best practices
Liaising with various departments to understand their document management requirements
Proven experience in document control, records management, or a related administrative role within a professional environment
Strong knowledge of document management systems and electronic filing practices
Excellent organisational skills with meticulous attention to detail
Proficiency in Microsoft Office applications and document management software
Understanding of compliance requirements and regulatory standards relevant to document management
Exceptional communication and interpersonal skills
Ability to work independently whilst collaborating effectively with cross‑functional teams
Experience with version control and change management processes
A diploma or certification in records management, information management, or a related field (preferred)
Familiarity with ISO standards related to document and records management (advantageous)
