Job summary

Torch is seeking a Channel Admin in Bandung to manage Torch's marketplace and website channels. You will keep stock synchronized, process orders on time, handle aftersales, and reconcile sales data to ensure SLA-compliant shipments and minimal OOS.

You will work with Finance, Inventory, CS, and external partners. Ideal candidates have at least 1 year in marketplace admin roles, strong data skills, and experience with major marketplaces.

Qualifications

• Minimum 1 year of experience as Marketplace Admin, E-commerce Admin, or Sales Support Admin.
• Experience with major marketplace Seller Centers (Shopee, TikTok Shop, Tokopedia, Lazada); Shopify is a plus.
• Proficient in Google Sheets / Excel, data dashboards, and WMS/ERP systems, with strong SOP compliance.
• Clear, polite, and well-organized verbal and written communication.
• Able to troubleshoot stock discrepancies and understand flow from WMS/ERP to Seller Center.

Responsibilities

• Stock and sync daily stock across Seller Centers, ERP, and warehouse; manage stock status (restock, low stock, OOS).
• Process daily orders from all channels; monitor delays and auto-cancellations; inform warehouses before cut-off.
• Follow up with CS to offer replacements for OOS orders.
• Process refunds, returns, size exchanges, and warranty claims in ERP.
• Reconcile marketplace withdrawals against ERP invoices and resolve discrepancies.
• Analyze late-shipment and OOS data for biweekly PCA/Warehouse meetings; coordinate with internal/external teams.

Job OverviewWe are looking for a Channel Admin to manage the daily operations of Torch's marketplace and website channels. You will keep stock synchronized, process orders on time, handle aftersales, and reconcile sales data, so that orders ship within SLA, Out of Stock (OOS) cases stay minimal, and our online stores run smoothly.

Key Responsibilities

• Stock & Product: Monitor and sync daily stock across Seller Centers (Shopee, TikTok Shop, Tokopedia, Lazada), Powerbiz/ERP, and the actual warehouse; activate or deactivate products based on stock status (restock, low stock, OOS).
• Order Processing: Validate and process daily orders from all channels through RTS and Good Issue; monitor stuck orders (over 5 hours), delays, and auto-cancellations; send order data to warehouses before cut-off.
• OOS Handling: Follow up with CS to offer replacement products on OOS orders.
• Aftersales & Claims: Process refunds, returns, size exchanges, and warranty claims, including MR, Sales Invoice Return, and DN documents in the ERP.
• Reconciliation: Reconcile marketplace fund withdrawals against ERP Sales Invoices, and work with Finance and Inventory to resolve settlement discrepancies.
• Evaluation & Coordination: Analyze late-shipment and OOS data for the biweekly meeting with PCA/Warehouse, and coordinate with internal teams (Finance, Inventory, CS, Backend, Bizdev, Warehouse) and external parties (Powerbiz, couriers, marketplace Account Managers).

Requirements

• Minimum high school / vocational school graduate; Diploma/Bachelor's degree in any major preferred.
• Minimum 1 year of experience as Marketplace Admin, E-commerce Admin, or Sales Support Admin.
• Experienced with major marketplace Seller Centers (Shopee, TikTok Shop, Tokopedia, Lazada); Shopify is a plus.
• Proficient in Google Sheets / Excel, data dashboards, and WMS/ERP systems, with strong attention to detail and SOP compliance.
• Able to troubleshoot stock discrepancies and understand the system flow from WMS/ERP to Seller Center.
• Clear, polite, and well-organized verbal and written communication.
• Understands order fulfillment, multi-warehouse operations, and campaign stock management.
• Experienced in aftersales flows (returns, refunds, warranty claims, MR/DN creation in ERP).
• Experienced in marketplace fund reconciliation.
• Familiar with affiliate/KOL sample request and shipping processes is a plus.
• Detail-oriented, responsive, solution-oriented, proactive, and accountable.
