佳湧證券有限公司 is seeking a Group Administrative Officer to manage and elevate our administrative and operational functions at the group level. You will be the central pillar supporting our dynamic team as we scale.
The role covers office and group operations management, executive support, and robust documentation in both English and Chinese. You will coordinate cross-department workflows, onboarding, and HR-related administrative processes with discretion and ownership.
To meet our business expansion, we are looking for a Group Administrative Officer to manage and elevate our administrative and operational functions at the group level. In this role, you will be the central pillar supporting our dynamic team as we scale.
Oversee day-to-day administrative operations at the group level, ensuring a smooth, well-organized, and professional working environment
Coordinate cross-departmental workflows, facilities maintenance, vendor relationships, and office procurement
Provide high-level support to senior management, coordinating executive schedules, travel arrangements, and internal communications
Draft, proofread, and manage professional correspondence, memos, corporate announcements, meeting minutes, and administrative policies in both English and Chinese
Maintain accurate corporate records, agreements, and administrative filing systems with meticulous attention to detail
Assist with onboarding logistics for new hires
Work closely with the Human Resources Department to coordinate employee welfare, team-building activities, and internal administrative workflows
Minimum 8 years of solid administrative experience, ideally gained within financial services, asset management, or corporate group environments
Good written and verbal communication skills in both Chinese (Cantonese and Mandarin) and English; strong business writing capability is essential
Comfortable and adept at working in a cross-border environment with PRC ownership and a predominantly Hong Kong workforce
Proactive, exceptionally responsible, and able to take genuine ownership of the duties
High level of discretion handling confidential matters, excellent problem-solving skills, and a mature, steady demeanor
