The Hong Kong Dental Association is seeking an Executive Officer (Council & Committees) to provide secretarial and administrative support for the Council and Committees, including meeting planning, diary management and coordination with relevant parties.
Responsibilities include organizing and attending meetings and courses, coordinating travel for Council Members, drafting documents and materials, supervising junior staff, and ensuring timely execution of Council resolutions and Association
The Executive Officer (Council & Committees) provides secretarial and administrative support for the Council and Committees of the Hong Kong Dental Association, including organising and attending meetings and activities, diary management, service under public appointments, manage business trips and provide secretarial support for Council Members and coordination with relevant parties. The role involves executing the Council's resolutions and the Association's policies, and managing a range of administrative functions.
Key responsibilities
Provide secretarial and administrative support for the Council and Committees, including but not limited to planning, organising and attending meetings, activities and courses which may be held beyond office hours; diary management; service under public appointments, and coordination with relevant parties
Manage business trips to the Chinese Mainland and overseas for Council Members, including travel and accommodation arrangements, visa support (if required), presentation materials, secretarial support and liaison with host organisations
Execute the Council’s resolutions and the Association’s policies
Provide secretarial and administrative support for the Council and Committee members to attend functions and events locally
Draft correspondence, documents, flyers and presentation materials independently
Supervise junior colleagues for implementation of projects and directives
Perform any other appropriate duties as assigned
Work outside office hours occasionally
About you
Holder of a recognised degree with at least 3 years' relevant working experience
High proficiency in Chinese and English (Grade C or above/ Level 3 or above in Chinese Language and English Language (Syllabus B) in HKCEE or HKDSE)
High level of computer literacy, specially in MS Word, PowerPoint, Excel and Chinese word processing
Self-motivated, detail-minded, well-organised with strong problem handling and solving, good communication and interpersonal skills
Able to work independently and willing to work overtime if necessary
Immediate availability is preferred
