Reporting to the Planning and Operations Manager, the E-commerce Operation Executive is the vital link between our digital storefront and physical inventory. This role serves as a shared resource for both the E-commerce and Warehouse teams, ensuring that what the customer sees online perfectly matches what is on the shelf. You will be responsible for the accuracy of our digital product data, the efficiency of our order fulfilment, and the integrity of our stock levels. The ideal candidate is a detail-oriented multitasker who is just as comfortable navigating Shopify as they are performing a physical stock count in the warehouse.
Key Responsibilities:
1. E-commerce Operations & Maintenance:
- Assist in the end-to-end product upload process, ensuring accurate descriptions, imagery, and tagging on the Shopify platform.
- Monitor and process daily online orders, ensuring a seamless flow from the "buy" button to the warehouse floor.
- Update digital stock levels in real-time to prevent overselling and maintain a premium customer experience.
2. Website Scheduling & Digital Marketing
- Plan out the website update schedule and coordinate with different parties to ensure the timely delivery of accurate web content, including storefront design, product photos, product descriptions, promotions, and stock levels.
- Work closely with the buying team to prepare for key retail seasonal cycles, including season launches, sales, and promotions.
- Partner with the buying team to formulate a digital marketing plan to improve website traffic and conversion rates.
- Manage program and campaign launches including, but not limited to, banners, web-page design, eDM campaigns, search engine marketing, and social media marketing.
- Prepare design briefs for the graphic designer to create on-brand graphics.
3. Reporting & Customer Service
- Utilize site metrics tracking tools to generate business intelligence reports for performance evaluation
- Generate weekly inventory and sales reports, providing the data needed for informed replenishment and business decisions.
- Serve as a primary point of contact for customer inquiries regarding order status, tracking, and product availability.
- Deliver professional, timely communication to resolve customer issues and maintain brand loyalty.
4. Warehouse & Logistics Support
- Conduct regular cycle counts and full physical inventory audits to reconcile discrepancies between physical stock and system records.
- Collaborate with warehouse staff to maintain a highly organized storage environment, optimizing the "pick and pack" path for efficiency.
- Support inbound logistics by receiving shipments, verifying packing slips against purchase orders, and reporting any damages or shortages.
- Assist in preparing outbound shipments, ensuring orders are packed securely and dispatched to meet delivery deadlines.
- Liaise between the office and the warehouse to resolve any fulfillment bottlenecks or shipping errors.
Qualifications and Experience
- Diploma or Degree in E-commerce, Business, Supply Chain, Marketing, or related disciplines.
- Strong analytical skills, proficient in Excel, and proven experience working with Shopify or similar E-commerce platforms is required.
- 2-4 years of experience in e-commerce, sales operations, or related business functions.
- Excellent communication skills with the ability to bridge the gap between office and warehouse teams.
