Job summary

The University of Hong Kong is seeking an Assistant Director to lead the HR Shared Services group within the Human Resources Office. The role focuses on delivering efficient HR support across the University, ensuring compliance and continuous improvement.

The successful candidate will oversee HR systems, visa and enrollment processes, and data analytics, while collaborating with IT and procurement teams to optimize service delivery and performance reporting.

Qualifications

• Bachelor’s degree or higher in Human Resources, Business Administration, or a related field.
• At least 10 years of HR experience with emphasis on operations or shared services, preferably in a university or public sector.
• Proven leadership and experience managing small teams.
• Strong organizational and multitasking abilities with a customer-service mindset.
• Proficiency in HR information systems and office management tools.
• Excellent communication in English and Chinese with diverse stakeholders.
• Experience driving process or systems changes in HR.
• Strategic mindset with collaboration and process improvement focus.
• Well-developed interpersonal skills and ability to influence at all levels.

Responsibilities

• Oversee the operation of the HR Shared Services team, including personnel administration, office management and HR systems.
• Lead the implementation and streamlining of HR procedures such as visa applications, MPF/SPF enrollments, and leave administration.
• Supervise daily operational activities, including facilities management, procurement, and HR counter services.
• Ensure the effective functioning of HR systems and data analytics, supporting strategic decision-making.
• Liaise with HKU IT teams to optimize HR service delivery and explore innovations in process automation, and coordinate with Central Procurement when external vendors are engaged.
• Develop and maintain performance metrics to monitor service quality and identify areas for improvement.
• Keep abreast of best practices and trends in HR operations and shared service delivery.
