You will manage contracts, payroll input, leave records, supplier invoices, and licence renewals, ensuring deadlines and signatures are in place.
You will handle recruitment admin, onboarding new team members, and track leave and MPF submissions with the accounts team, while maintaining confidential staff information and company documents.

As our Administrative Assistant, you keep the business running behind the scenes. Contracts, payroll input, leave records, supplier invoices, licence renewals: you own the detail that everybody else relies on and nobody else sees. You are the person who notices the missing signature, the expiring policy, and the deadline three weeks out. If you take quiet pride in a system that works because you built it properly, you will be the perfect fit for our vibrant team.
Maintain personnel records: employment contracts, staff files, attendance, and leave balances.
Prepare monthly payroll input and MPF submissions together with our accounts team.
Handle recruitment administration: post vacancies, log applications, schedule interviews, and correspond with candidates.
Onboard new team members: contracts, handbook, uniforms, system access, and first-day setup.
Track statutory leave, annual leave, rest days, and medical reimbursement claims.
Process supplier invoices, petty cash, and staff expense claims.
Maintain company documents, licences, insurance policies, and a calendar of renewal deadlines.
Act as the link between the management team, our accountant, and external service providers.
Support day-to-day front-of-house and administrative duties as part of a tight-knit team.
Weekdays: 10:00 - 19:00
One Hour Lunch Break or Complimentary Staff Meals Daily
Experienced in administration, with two or more years in a similar role
Fluent in English and Traditional Chinese, written and spoken. Simplified Chinese is an advantage
Methodical, working from checklists and calendars rather than memory
Detail orientated, with a high standard for accuracy and finish
Confident with Excel or Google Sheets, and quick to learn new systems
Discreet, and comfortable holding confidential staff and company information
Working knowledge of the Hong Kong Employment Ordinance and MPF requirements is an advantage
