Job summary

Migrant Help is seeking a driven TESS Administrator in the Paisley/Glasgow area to manage financial admin tasks and front-line client engagement within the Trafficking and Exploitation Survivors' Service.

This full-time fixed-term role (to 30 September 2027 with potential extension) involves processing payments, maintaining records, and supporting monthly/annual reports. A DBS check and right-to-work documents are required. Migrant Help promotes safeguarding and diversity.

Qualifications

  • Demonstrable experience in an administrative capacity, particularly with budgets, accounting, invoicing and other financial processes, including reconciliation.
  • Experience of working face to face with members of the public.
  • Experience and understanding of working with external agencies.
  • Experience of working with people in potentially sensitive and emotionally demanding situations.
  • Working knowledge of UK Immigration / Asylum Legislation and the National Referral Mechanism.
  • Experience of working in the voluntary sector and in multicultural environments.

Responsibilities

  • Administer weekly finance payments to clients and maintain the payment system.
  • Keep finance data recording systems accurate and up to date.
  • Complete internal Purchase Orders and invoices and liaise with Finance.
  • Ensure invoices are accurate before Regional Manager approval.
  • Front of house contact for referrals via phone and email.
  • Set up and maintain electronic files for new referrals and input data.
  • Support rota production for the team.
  • Assist with office health and safety checks as requested.
  • Assist management with monthly and annual reports.
  • Reconcile petty cash daily and support audits.

Contract: Full time, Fixed term until 30 September 2027 (with potential to be extended or made permanent)
Salary: £26,739, - Increasing to £29,602 following successful completion of a 6 months probation period

The role

Part of the Trafficking and Exploitation Survivors' Service (TESS) team, the TESS Administrator is a diverse and exciting role at Migrant Help. You will be expected to work engagingly with our diverse client group, most of whom will be entering the service having recently been through trauma. You will take a pro‑active approach towards managing and improving administrative duties, including financial processes as determined by the Regional Manager. You will work consistently to support with the continuous development of the service ensuring all processes and procedures are followed efficiently, consistently and with professionalism at all times. You will be expected to contribute to the overall success of the organisation in accordance with Migrant Help's aims, objectives, vision and values.

Role responsibilities
  • Responsible for the weekly administration of finance payments to clients, maintaining the finance payment system throughout the week and efficiently responding to client payment needs.
  • Ensure that all finance data recording systems are kept up to date, accurate and consistent with quality standards.
  • Responsible for ensuring the accurate completion of Migrant Help internal Purchase Orders and invoices and liaising with the Finance department as and when required.
  • Ensure the accuracy of invoices received into the service, before submitting to the Regional Manager for approval.
  • To act as a front of house/first point of contact for engagement with the service (phone and email) including new referrals into the service.
  • To set up and maintain electronic files for new referrals and input information on the database.
  • To support Regional Manager/Assistant Managers with the production of team rota's.
  • To support the Facilities and Accommodation Officer with office health and safety checks as requested.
  • Support the management team with the creation of reports including monthly and annual reports.
  • Responsible for administering and reconciling petty cash on a daily basis.
  • Support the management team with any audit requests and collection of data within the service.
  • Attending team meetings and taking of minutes, ensuring that all information and actions are correctly noted and shared with the team, as well as booking rooms for meetings.
  • Work in close partnership with both other members of the team and other internal departments in a professional manner.
The experience and skills you need
  • Demonstrable experience in an administrative capacity, particularly with budgets, accounting, invoicing and other financial processes, including reconciliation.
  • Demonstrable experience of working face to face with members of the public.
  • Experience and understanding of working with external agencies.
  • Experience of working with people in potentially sensitive and emotionally demanding situations.
