Job summary

Sphere Solutions is seeking a proactive Technical Administrator to support major projects across construction, engineering, defence, data centre and energy sectors. You will coordinate documentation, maintain technical records, and assist with project administration for a range of specialist projects.

You’ll work with senior managers, technical teams and HSE professionals to maintain quality standards and keep documentation compliant, while supporting training, events and tender-related

Qualifications

  • Experience as Technical/Project/Construction/Engineering Administrator or Document Controller.
  • Strong administrative and organisational skills.
  • Excellent written and verbal communication.
  • High level of accuracy and attention to detail.
  • Proficient with Word, Excel, Outlook.
  • Experience with Visio or willingness to learn.
  • Ability to manage multiple deadlines in a busy environment.

Responsibilities

  • Coordinate documentation and maintain technical records across projects.
  • Support reporting, training and events for Technical and HSE functions.
  • Maintain IMS and SharePoint records; manage consultant databases.
  • Prepare meeting minutes, action trackers and technical correspondence.
  • Produce workflow diagrams using Microsoft Visio and refresh status updates.

Technical Administrator | Construction | Engineering | Project Administration

We're looking for an organised and proactive Technical Administrator to join our growing team supporting major projects across the construction, engineering, defence, data centre and energy sectors.

This is an excellent opportunity for an experienced Construction Administrator, Technical Coordinator, Project Administrator, or Document Controller who enjoys working in a fast-paced environment and supporting multiple technical teams.

You’ll provide essential administrative support across both our Technical and Health & Safety (HSE) functions, helping ensure projects are delivered efficiently, documentation is accurately maintained, and internal systems remain compliant.

The Role

As our Technical Administrator, you’ll be responsible for coordinating documentation, managing technical records, supporting reporting, arranging training and events, and assisting with project administration across a range of specialist construction and engineering projects.

You’ll work closely with senior managers, technical teams and HSE professionals, playing a key role in maintaining quality standards and supporting business operations.

Key Responsibilities
Technical Administration
  • Provide administrative support to the Technical team
  • Maintain and update technical documentation and company management systems (IMS)
  • Coordinate project documentation, technical reports and site records
  • Support Design Managers with consultant contracts and documentation
  • Assist with tender submissions and Pre-Qualification Questionnaires (PQQs)
  • Maintain SharePoint records and consultant databases
  • Coordinate handover documentation including O&M manuals, drawings and certification
  • Track documentation progress and produce regular status updates
  • Prepare and update workflow diagrams using Microsoft Visio
  • Produce meeting minutes, action trackers and technical correspondence
Health & Safety Administration
  • Provide administrative support to the HSE team
  • Maintain training records, registers and compliance documentation
  • Assist with incident reporting and action tracking
  • Support production of monthly HSE reports and statistical analysis
  • Coordinate meetings, training sessions and CPD events
  • Arrange travel, accommodation and conference bookings
  • Maintain internal databases and reporting systems
General Administration
  • Schedule meetings and manage diaries where required
  • Organise meeting rooms, catering and hospitality
  • Prepare reports, presentations and documentation
  • Maintain accurate filing systems and document control processes
  • Support continuous improvement initiatives across the business
What We’re Looking For

We’re looking for someone who is highly organised, detail-oriented and confident managing multiple priorities.

Essential Skills & Experience
  • Previous experience as a Technical Administrator, Project Administrator, Construction Administrator, Engineering Administrator, Document Controller, or similar role
  • Strong administrative and organisational skills
  • Excellent written and verbal communication
  • High level of accuracy and attention to detail
  • Strong Microsoft Office skills (Word, Excel, Outlook)
  • Experience using Microsoft Visio (or willingness to learn)
  • Ability to manage multiple deadlines in a busy environment
  • Confident working independently and as part of a team
Desirable
  • Previous experience within the construction or engineering industry
  • Knowledge of HSE administration
  • Experience managing technical documentation
  • Experience supporting tender submissions or PQQs
  • Familiarity with SharePoint or document management systems
