Team Administrator – London, UK

About the Role

We are seeking a proactive and detail-oriented Team Administrator to join our London office. This role supports multiple functions across corporate facilities, diary management, recruitment coordination, and employee engagement. The ideal candidate will be highly organised, communicative, and capable of handling a fast-paced, dynamic environment whilst delivering excellent internal support.

This will be a full-time role, owning the following responsibilities:

Facilities Administration

  • Act as the primary point of contact for general office management queries.
  • In conjunction with the Corporate Services team of the parent company, liaise with building management, cleaners, security, and vendors to ensure the office environment is well-maintained.
  • Support health and safety compliance and onboarding of new employees with workplace inductions.
  • Monitor office supplies, equipment, and meeting room bookings.
  • Coordinate desk allocations, office access, and visitor management.

Recruitment & Onboarding Support

  • Schedule interviews and manage communication between candidates, hiring managers, and recruiters.
  • Coordinate candidate logistics including virtual meeting links or in-person interview arrangements.
  • Maintain candidate documentation with confidentiality and accuracy.
  • Work with the People Team to assist with onboarding preparation, including welcome packs, system access, and induction agendas.

Diary & Meeting Management

  • Manage diaries and meeting schedules for senior team members and key stakeholders.
  • Coordinate internal and external meetings, ensuring agendas, materials, and follow-ups are prepared in advance.
  • Monitor and prioritise calendar conflicts to ensure efficient use of time.
  • Assist with travel booking and expense management.

Employee Engagement & Events

  • Support the planning and execution of employee events, such as team offsites, seasonal celebrations, and wellbeing activities.
  • Assist with internal communication efforts and company-wide initiatives to drive engagement.
  • Provide administrative support for diversity, equity & inclusion initiatives.

General Administration

  • Provide ad-hoc administrative support to senior team members and functional leads.
  • Assist with document formatting and data entry tasks.
  • Contribute to a positive team culture and act as a go-to person for internal queries.

You are a confident and capable administrator who thrives in a support role and enjoys juggling a variety of tasks. You have a natural ability to stay organised, keep others on track, and bring a calm, solutions-focused attitude to busy working days. Whether you are coordinating diaries, planning an event, or organising complex interview schedules, you take pride in getting the details right and making things run smoothly. You are proactive, approachable, and able to build trusted relationships across teams and levels.

The following education, experiences and skills are essential for application:

  • Proven experience in an administrative, team assistant or office coordinator role.
  • Strong diary and calendar management experience across multiple stakeholders, ideally in a global environment.
  • Exceptional organisational and multitasking skills, with strong attention to detail.
  • Excellent communication and interpersonal skills, with the ability to flex communication style with different stakeholders.
  • Confident using MS Office (Outlook, Word, Excel, PowerPoint).
  • Ability to handle sensitive information with confidentiality and discretion.

The Following Experiences Are Desirable But Not Essential

  • Prior experience in a corporate and/or professional services environment.
  • Exposure to HR, recruitment and/or employee engagement initiatives.
  • Understanding of workplace health and safety and/or office management procedures.
