Job summary

Architecture 00 in London (Hackney) seeks an energetic Studio Administrator for maternity leave cover to support the Studio Manager. You will handle day-to-day admin and operations for the 00 studio within a small team, reporting to Directors and external bookkeeping support.

The role offers a fixed-term arrangement (10 months) with 0.8–1.0 FTE, starting October 2026. You will be part of a collaborative, supportive studio environment that values organisation and proactive problem solving.

Description

Architecture 00 are looking for an energetic and proactive colleague to join our team in London as maternity leave cover for our Studio Manager. Your role will be to support the day-to-day admin and operations of the 00 studio in Hackney.

This is a fantastic opportunity to join our collaborative, passionate dedicated team of 14 architects and designers. Our friendly and supportive studio is a great place to develop skills and gain in confidence and experience in office management. You will be supported in your role by our team of Directors as well as by external bookkeeping and accountancy roles.

Responsibilities
Studio and Facilities
  • Coordinating our studio and creating a positive environment for our staff and subtenants to work in
  • Being the first point of contact for the organisation – greeting visitors, receiving and screening calls, and monitoring the info@architecture00.net email inbox
  • Collection and distribution of post
  • Work with the team to ensure the general office, kitchen and all areas of the studio are kept clean and tidy
  • Ordering office and kitchen supplies ensuring these are always fully stocked
  • Liaising with the building manager regarding any office repairs, building works and security matters
  • Ensuring company insurances are renewed and up to date
  • Organising in-house lunchtime presentations and office events
  • Scheduling meetings and taking minutes when required
  • Monitoring office cleaning
  • Maintaining office policies and procedures, including H&S policies, and making sure they are observed by staff
  • Managing office subscriptions, accreditations and membership renewals
  • Manage the office and tenancy arrangements including rent, business rates and utilities
  • Managing subtenants of the office
HR
  • Responsible for new starter onboarding, issuing contracts, references, right of work etc
  • Supporting recruitment to individual posts including the creation of job descriptions and adverts, ensuring they are distributed using the appropriate channels and coordinating interviews
  • Recording sick and annual leave and communicating any associated changes to monthly payroll
  • Maintaining confidential electronic employee files and records
  • Coordinating staff reviews including issuing and archiving forms and coordinating meetings
  • Supporting the wellbeing of staff members
IT
  • Liaising with IT support provider as required
  • Purchase new equipment as advised by the team
  • Recording office software licence information
  • Managing company IT user accounts
Finance
  • Accurately recording expenditure and filing invoices
  • Managing spend on company credit cards
  • Ad-hoc finance duties as and when required
  • Supporting on processing payroll
Comms and Marketing
  • Adding news posts to the website
  • Updating the website with new project pages, writing copy and adding press photos
  • Monitoring awards deadlines and supporting on submissions
Project Administration
  • Filing, record keeping and document management
  • Responsible for regular monitoring and managing of tender portals (online portals which advertise potential new work)
  • Responsible for maintaining the tender tracker
  • Supporting on tender responses – providing relevant practice information
  • Keeping abreast of upcoming bid deadlines and supporting on submissions
