MacGregor Industrial Supplies in Kirkwall is seeking a Service & Hire Controller. You will coordinate day-to-day service and hire activities, manage bookings and repairs, and liaise with customers to ensure timely progress and accurate documentation.

The role requires strong organisational skills, excellent communication, and the ability to prioritise multiple tasks in a busy environment, while supporting a professional and compliant service operation.

Qualifications

• Previous experience in a customer service, service administration, hire desk, workshop administration or coordination role.
• Strong organisational and planning skills.
• Excellent communication and relationship-building abilities.
• Ability to prioritise multiple tasks and work under pressure.
• Good IT skills and confidence using business systems.
• Strong attention to detail and accuracy.
• A proactive, solutions-focused approach.
• Ability to work collaboratively with colleagues across different departments.

Responsibilities

• Coordinate day-to-day service and hire activities for customers and colleagues.
• Manage service bookings, repairs and hire enquiries from customers.
• Coordinate workshop schedules to ensure repairs and servicing are efficient.
• Raise job cards, hire agreements and associated documentation.
• Liaise with customers regarding repairs, servicing progress, quotations and equipment availability.
• Schedule equipment inspections, maintenance and servicing activities.
• Process customer orders, invoices and service records accurately.
• Support hire fleet availability and utilisation.
• Order parts and materials required for repairs and servicing.
• Work with workshop technicians to prioritise workloads and maintain records.
