Service Administrator – Children's Community Nursing Service (STH)

We are looking for an enthusiastic and hard working person to provide comprehensive administrative and clerical support to our Children's Community Nursing Service for a 1 year maternity cover period.

This is an exciting and challenging role in which you would have the opportunity to make a direct positive impact on the patient experience of children, young people, their families and carers.

Main duties of the job
  • Work is customer focused, timely and of a high quality.
  • All telephone contacts are managed with good communications skills, using initiative to respond to queries on behalf of the service.
  • Calls from distressed parents/carers are dealt with empathetically and, when necessary, escalated to a nurse.
  • Liaison with other professionals and acting as a consistent point of contact for effective communication.
  • Management of diary, staffing, appointments and meetings for the CCNS.
  • Prioritise and handle correspondence that requires clinical decision‑making via a nurse, and sorting and storing as required.
  • Produce high standard, word‑processed letters, documents and reports to meet service requirements.
  • Photocopy, scan, store and distribute documents.
  • Register all patients, apply referrals, book appointments, code as per CCNS calendar, and record attendance/non‑attendance accurately in all relevant databases.
  • Create and maintain accurate databases to evidence service activity.
  • Arrange meetings, room bookings, create agenda documents and take minutes.
  • Arrange translation services with nurses, including foreign language and sign‑language support.
  • Monitor, order and maintain stock levels of agreed items, requisition items via SBS and NHS Supply Chain, process invoices, receive and store deliveries, ensuring rotation of stock.
  • Support senior nurses in Health Roster creation and subsequent management.
  • Identify opportunities for service and office systems development and improvement, implement agreed changes.
  • Escalate identified risks and safeguarding issues to senior/lead nurses or safeguarding team, and document in a timely manner.
  • Inform the Service Lead/Nurse Leadership Team of any relevant incidents, complete Datix, and ensure corrective action is taken.
  • Maintain equipment in accordance with local and Trust policy; report any defective equipment promptly.
  • Resources are used efficiently and effectively.

Qualifications
  • Educated to GCSE or equivalent level in Maths and English.
  • Business administration apprenticeship qualification or willingness to undertake.
Experience and Knowledge
  • Experience of administration work in a healthcare setting.
  • Good working knowledge of Windows-based packages to set up documents and extract information.
  • Experience of using a full range of patient administration systems.
  • Experience and utilisation of NHS Supply Chain and SBS systems, and related finance responsibilities.
  • A minimum of one year's experience working in a similar role in hospital/healthcare setting.
  • Knowledge and experience of Health Roster.
