Job summary

LA Micro Group is seeking an experienced sales support professional to keep the sales desk running. The role covers quotes, orders, invoicing, purchasing, stock, logistics, warranties and returns for UK, Ireland and beyond.

You will load orders, issue quotes, manage invoices and liaise with customers, suppliers and couriers. Proficiency in Excel, Microsoft Dynamics NAV, HubSpot or Zendesk is important; hybrid working after probation is offered.

Qualifications

• Solid experience in sales support, sales administration, order processing or purchasing.
• Real accuracy – catch the wrong part number, currency or delivery address before it costs anyone money.
• Confidence dealing with customers, suppliers and couriers by phone and email.
• Good Excel and Microsoft Office skills, and you pick up new business systems quickly.
• Availability Monday to Friday until 6:30pm (to expedite next day and global orders).

Responsibilities

• Break down approved quotes and send pricing to customers in their own currency.
• Issue formal quotations and pro forma invoices.
• Load customer orders, including server orders, and send confirmations and tracking.
• Prepare the correct invoicing for orders routed via Ireland and the US.
• Check and approve supplier invoices.
• Place purchase orders with suppliers and chase delivery and tracking.
• Manage customer backorders so stock is ordered and allocated on time.
• Raise supplier GRNs and deal with returned stock, shipping it back or scrapping it as appropriate.
• Source pallet and freight quotes for Purchasing and the wider team.
• Book and manage inbound and outbound pallet shipments, and check carrier invoices against the quote.
• Register Dell warranties on server units.
• Check and clear the sales team’s Dell warranty orders, escalating any issues.
• Raise and manage customer RMA tickets in Zendesk.
• Manage and distribute the sales inbox, and log and allocate new leads.
• Answer and direct incoming calls.
• Support the Head of Sales and Purchasing day to day, including managing their inbox and passing expense receipts and invoices to Finance.
• Cover orders across the sales team during holidays and absence.
