We are looking for an Audio Visual Services Officer to join the IT function.
About the Programme/Department
Resilient, integrated and highly available information technology services are of critical importance for its successful operation. All key services are provided through Microsoft 365. All staff can access all IT services remotely.
About the role
The Audio Visual Services Technician’s role is to support audio visual services for the Institute, with a particular emphasis on support for live streaming of events to the internet. This will often involve liaising with external researchers and practitioners unfamiliar with this technology. Working as a member of a two-person AV group within the IT team, they will also provide audio-visual support to staff, research associates, contractors and interns. The post-holder will troubleshoot problem areas in a timely customer-oriented and accurate fashion, and provide end-user training and assistance where required.
Other key responsibilities include:
- Identify and ensure that required audio-visual service levels are delivered according to ODI policies and user requirements.
- Livestreaming of ODI events and external client events, this includes pre, event and postproduction for hybrid and online events.
- Meet with programme team, Public Affairs & Communications (PAC) team, and external clients ahead of the event to discuss event logistics including room design, streaming platform, remote panellists connections and roles and responsibilities.
- Test connection with remote panellists ahead of the event and advise on best practice and troubleshoot any issues.
- Add all necessary links to the event page ahead of event.
- Arrange simultaneous translation when needed and brief translators once connected.
- Arrange Closed captions when needed and brief captioners once connected.
- Brief panellists in the room and online
- Setup AV/IT equipment on the day of the event.
- Change state of event page to during event, then Livestream and record event and control Audio, Video, Computer content, Chat, Q&A and any other AV aspects of the event.
- Run event with Audio Visual and Digital Transformation Manager.
- Edit event videos, upload to YouTube and SoundCloud and embed it to the ODI post event page.
- Send analytics report and transcript to PAC or programme.
- Any other admin relating to livestreaming of events.
- Setup portable AV equipment and run events off-site when needed.
- Oversee audio-visual facilities for conference rooms.
- Ensure that audio/video recordings are edited promptly following meetings and events.
- Provide and maintain supplementary connectivity for web streaming of internal and external meetings, liaising with the communications team.
- Receive and respond to incoming calls, and emails regarding AV software/hardware problems.
- Ensure that detailed instructions are provided for all AV tasks and processes and train those providing supplementary cover in the absence of the post holder.
- Manage Zoom licenses and bookings accordingly.
- Help if needed during busy periods with video editing.
Equipment Support
- Provide IT/AV equipment for guests during meetings (power adaptors, USB sticks, Wireless headsets, remote clicker etc)
- Ensure that videoconferencing equipment, multimedia devices, display screens, monitors, projectors, recording equipment, speaker sets, digital cameras/camcorders, and other presentation equipment are set up, configured, tested, maintained, monitored, and troubleshoot as necessary.
- Ensure that instances of AV equipment failure, repair, installation, and removal are documented.
- Ensure that a spare parts inventory is maintained for all AV equipment.
- Ensure that incoming booking requests for AV equipment and setup are responded to promptly.
- Troubleshoot AV issues using the appropriate testing tools; make repairs as necessary.
- Make sure that AV equipment owned by the organization is tagged and periodically audit inventories to mitigate risk of damage or theft.
- Perform onsite analysis, diagnosis, and resolution of complex AV hardware problems for a variety of end users, and recommend and implement corrective solutions, including offsite repair as needed.
About you
Knowledge and qualifications
- Excellent technical knowledge of video conferencing, presentation, and other AV hardware.
- Experience of web-streaming technology
- Hands-on AV troubleshooting experience.
- Experience as video camera person
- Familiarity in using mixing desk (virtual or analogue)
- Good knowledge of current network protocols, operating systems, software, and standards.
- Ability to operate tools, components, and peripheral accessories.
- Able to read and understand technical manuals, procedural documentation, and OEM guides.
- Ability to conduct research into hardware products and issues as required.
- Understanding of ODI’s goals and objectives.
- Excellent interpersonal and relationship-building skills in order to provide an exemplary service to ODI staff, visitors and stakeholders
- Good written and oral communication skills
