Job Summary

We are recruiting for a business administration apprentice to join the Specialist Children and Young People Service (SCYPS) on a fixed term basis.

The individual will be part of a diverse group of professionals offering specialist care and support to children and young people in and around Newham. The post-holder will be expected to work across the various services within SCYPS if needed, supporting school‑age students during short work‑experience placements as part of the SCYPS team.

The role will provide effective and efficient administrative, clerical and/or customer service support to the department. The post holder will work flexibly within the team and contribute to the smooth functioning of systems in place, supporting management of waiting lists to reduce waiting times.

He/she will also complete their assigned apprenticeship standard within the allotted fixed‑term period and will spend an average of six hours per week evidence their knowledge, skills and behaviour to the training provider.

He/she will want to develop a career in the NHS and demonstrate a commitment to learning and a desire to complete an apprenticeship qualification alongside work‑based learning.

Responsibilities
  • Produce accurate records and documents, including emails, letters, files, payments, reports, proposals, and manage waiting lists.
  • Draft and send outgoing electronic and manual correspondence, including reminding patients of forthcoming appointments and posting other correspondence related to patients, carers, GP's.
  • Deal with a range of queries from the public and other agencies in a polite and helpful manner, acting as a reception point by telephone and face‑to‑face, seeking advice and guidance from Team Secretaries or Operations Manager.
  • Take and promptly pass on accurate notes and information, exercising independent judgment and discretion when handling, monitoring and filtering calls within data protection, customer care and confidentiality guidelines.
  • Ensure calls from anxious and distressed patients and carers are dealt with appropriately and referred to the correct system internally.
  • Manage the diary and appointments system and inform clinicians of their appointment arrivals.
  • Ensure staff have filled in their diary and updated the appointment system.
  • Co‑ordinate and oversee room bookings and report any problems as appropriate.
  • Access patient records and update accordingly, typing correspondence when required.
  • Maintain office filing systems and ensure information relating to service users is accessible to relevant staff, ensuring confidentiality at all times.

Person Specification
Essential
  • Ability to work without direct supervision.
  • Ability to communicate clearly using various platforms.
  • Level 2 English and maths at Grade C/4 or above, or willingness to work towards these qualifications during the apprenticeship.
  • Previous administrative experience in the NHS or experience of working in an office environment.
  • At least 3 months experience of routine office administration including reception duties.
  • Ability to organise and evaluate data.
  • English & Maths GCSE at grade C or grade 5 or above, or NVQ1.
Desirable
  • NVQ Level 3 or equivalent qualification or working towards.
  • Working experience in a multidisciplinary health team.
  • Experience of providing admin support within a health or social services setting.
  • Previous NHS work experience or administrative experience.
  • An understanding of office procedures.
