Job summary

Doncaster & Bassetlaw Teaching Hospitals NHS FT is seeking a Recruitment Admin Assistant to support the medical and dental workforce recruitment across divisions. You’ll handle the recruitment journey, use NHS Jobs and ESR, and ensure accurate records while providing friendly, efficient service.

The role supports a Monday–Friday onsite presence with a hybrid option and some home-working after training. Band 3 level with strong admin skills and a commitment to service improvement.

  • Experience in a customer-focused recruitment/administrative role.
  • Proficient with Microsoft Office applications.
  • Knowledge of Data Protection and Freedom of Information.
  • Experience with NHS Jobs or other e-recruitment systems.
  • NVQ Level 2 in Business Administration or equivalent.

Recruitment Administrative Assistant (Medical & Dental Workforce)

Are you an organised, approachable administrator who enjoys helping people and making processes run smoothly? We are looking for a Recruitment Admin Assistant to join our friendly team at Doncaster and Bassetlaw Teaching Hospitals NHS Foundation Trust.

In this varied and rewarding role, you will help us predominantly provide a comprehensive and timely Recruitment service to clinical divisions across the Trust. With a particular focus on medical and dental workforce recruitment, you will support candidates and colleagues from the point a vacancy is approved to be advertised through to completion of pre-employment checks and appointment. You will work in accordance with current legislation, NHS Employment Check Standards, best practice and relevant local and national terms and conditions.

You do not need to know everything about medical staffing from day one. We will value your transferable administrative and customer-service experience, your willingness to learn, and your commitment to providing a kind, accurate and responsive service.

Interviews will be held on Monday 19th October 2026.

Main duties of the job

By joining our Medical HR Team, you'll play a key role in supporting the recruitment and management of medical staff across DBTH. You will work in a collaborative and supportive environment, with opportunities for personal and professional growth.

Provide an efficient and welcoming recruitment service for medical and dental vacancies across designated divisions.

Support the full recruitment journey, including placing adverts, coordinating shortlisting and interviews, arranging panels, completing pre-employment checks and issuing offer letters.

Use systems including Trac, NHS Jobs, ESR and Microsoft Office to maintain accurate, timely and confidential records.

Check professional registration, licences to practise and relevant qualifications, and support the issuing of contracts of employment.

Maintain information relating to doctors in training, rotations and medical staff rotas.

Respond to enquiries in person, by telephone and electronically, providing helpful first-line support and seeking guidance where appropriate.

Liaise with managers, candidates, payroll colleagues and other stakeholders to ensure information is shared accurately and deadlines are met.

Support exception reporting, audit and quality-checking activity, departmental projects and continuous service improvement.

Job responsibilities

The service is required to have an onsite presence Monday to Friday, however there is a hybrid working option and following the induction and training period there will be the opportunity to work from home one day per week. This post will be required to work on a Friday and on site, however the remaining days can be discussed once trained.

We would be pleased to hear from you if you have experience in a customer-focused recruitment or administrative role, have worked in a busy office environment and are comfortable using Microsoft Office applications. You will bring clear communication, a confident and courteous telephone manner, strong attention to detail and the ability to organise your workload to meet deadlines. Experience of NHS recruitment, ESR, NHS Jobs or other e-recruitment systems would be welcomed, but is not essential.

You will join a team that will support you to learn, contribute and make a meaningful difference from your first day.
