Job description

Main duties of the job

Depending on shift worked, to either open surgery at 8am or close at 6:30pm, answer phone calls, triage patients and signpost to appropriate services, book patients into appointment lists with appropriate clinicians, check e-mails and respond to third parties, process admin related to repeat prescriptions, print blood forms as needed, complete tasks on clinical system and patient messaging software as per practice policy, empty bins, carry stock from reception to the first floor and help to stock items.

About us

We are a small friendly team. Our reception & admin team multitasks with several aspects of work including scanning letters, read coding, keeping the practice tidy and clean, triaging/signposting patients to the correct service, and liaising with external organizations to facilitate patient care.

Job responsibilities
  1. Ensure an effective and efficient reception service is provided to patients and visitors.
  2. Handle general queries, make and follow-up appointments, explain procedures.
  3. Manage patient movements at the front desk and during their visit.
  4. Open and close the practice as per shift timings.
  5. Deal with all patients in surgery and via telephone, using sound judgment and communication skills, especially for urgent cases.
  6. Manage patient inquiries via phone, email, and face-to-face, including insurance and admin forms, hospital results, and complaint procedures.
  7. Book appointments, handle messages from hospitals and other medical centers, request home visits, and manage clinic cancellations.
  8. Register new patients, verify identification, provide practice information, and set up their records.
  9. Scan and read code incoming mail onto electronic notes, distribute electronically, and manage practice post.
  10. Process insurance report requests, liaise with relevant parties, and apply fees as appropriate.
  11. Access and sort electronic patient messaging requests, forwarding them to relevant teams.
  12. Manage stationery and stock from ground to first floor, order biological samples and lab forms.
  13. Handle repeat prescription requests, print/copy prescriptions, and liaise with GPs and staff.
  14. Inform patients of test results and arrange appointments as needed.
  15. Maintain cleanliness of doctors’ rooms and manage biological samples and disposal.
  16. Perform other administrative tasks, including handling packages, locking/unlocking the building, training staff, handling cash, and liaising with external agencies.
  17. Assist with various duties such as retinopathy, immunizations, mail distribution, and general office tasks.
Person Specification
Qualifications
  • GCSE grade A to C in English & Maths.
  • IT Skills / GCSE in ICT.
  • GP surgery experience.
  • NVQ level 2 in Health and Social Care.
Experience
  • IT Skills or ability to learn via observation & practice.
  • Experience in primary care or GP Practice.
