Job summary

Ocean Housing Group is seeking a Project Support Administrator to join the Property Services team on an 18-month fixed term, part-time basis (22.2 hours per week). The role supports project delivery, keeps records accurate, and ensures actions are followed through with external suppliers.

The ideal candidate will be highly organised with strong MS Office skills, minute taking experience, and a customer-focused approach. GCSEs in English and Maths, plus administration experience, are required.

Qualifications

  • GCSEs (or equivalent) in English and Maths.
  • Previous administration experience, including accurate written correspondence and data entry.
  • Experience using IT systems and computerised databases.
  • Good Microsoft Office skills, including Word and Excel.
  • Experience of minute taking.
  • Excellent organisational and time-management skills.
  • Strong written and verbal communication skills.
  • Experience of delivering excellent customer service.

Responsibilities

  • Take ownership of the project Risks, Issues, Actions & Decisions Log, keeping information accurate and up to date.
  • Organise project meetings and ensure the right people are invited.
  • Manage meeting rooms and other resources.
  • Take clear notes and record actions from project meetings and Project Board meetings.
  • Proactively monitor and chase outstanding actions, highlighting risks to the Project Manager.
  • Liaise with external suppliers regarding attendance and actions.
  • Maintain accurate data while following GDPR requirements.

The Vacancy

Join Ocean Housing as a Project Support Administrator

The role is being offered on a Fixed Term basis for 18-months, part time, over 22.2 hours a week. The salary is £15,526.68 per annum (FTE £25,877.80)

We are looking for a Project Support Administrator to join our Property Services team and provide essential support to our project team.

This is a great opportunity for an experienced administrator who enjoys working in a busy project environment, coordinating meetings, keeping accurate records and making sure actions are followed through. You'll work with colleagues from across the organisation as well as external suppliers involved in delivering the project.

You'll play a key role in keeping the project organised and moving forward. Your responsibilities will include:

  • Taking ownership of the project Risks, Issues, Actions & Decisions Log, keeping information accurate and up to date.
  • Organising project meetings and making sure the right people are invited.
  • Managing meeting rooms and other resources.
  • Taking clear notes and recording actions from project meetings and Project Board meetings.
  • Proactively monitoring and chasing outstanding actions, highlighting anything at risk of missing its target to the Project Manager.
  • Liaising with external suppliers regarding meeting attendance and completion of actions.
  • Maintaining accurate and timely data while following GDPR requirements.

You will be someone who is naturally organised, methodical and comfortable managing competing priorities. You'll have excellent attention to detail and take pride in seeing tasks through to a high-quality finish.

You will bring:

  • GCSEs (or equivalent) in English and Maths
