Job description

Project Coordinator - Hybrid - Inside IR35

I am recruiting an exceptionally organized, proactive, and detail-oriented Project Coordinator to support my client's Improvement Program and broader business improvement agenda.

The role is offered with an initial 6 month term, likely to be extended, paying up to £240 per day PAYE (£320 per day umbrella)

Hybrid working is offered, with 2-3 days a week in the central London office, and occasional team away-days

This role is critical in helping the team stay on track, on time, and aligned. From scheduling meetings and workshops to preparing presentation materials and maintaining documentation, this role is all about enabling smooth operations and allowing the team to focus on driving impact.

This is a fantastic opportunity for someone who thrives behind the scenes, loves creating structure, and enjoys being the go-to person who keeps everything running seamlessly.

Key Responsibilities

  • Coordinate project and team schedules, meetings, and workshops across time zones and functions.
  • Own meeting logistics—send invites, create agendas, capture and distribute minutes and actions.
  • Assist the Project Manager to maintain documentation including plans, trackers, reports, and communications materials.
  • Support in developing and formatting presentations, reports, and stakeholder updates.
  • Organize and manage shared files and version control across collaboration platforms like SharePoint or Teams.
  • Assist the Project Manager in tracking action items, following up with team members to ensure deadlines are met.
  • Help set up and document team meetings (e.g., stand-ups, off-sites, workshops, multi-regional team meetings).
  • Support the Project Manager and wider team with ad hoc coordination needs.

Required Skills & Qualifications

  • Minimum 3 years of experience in a project coordination, Project Management, PMO, or business support role.
  • Able to thrive in an entrepreneurial organisation with many of the attributes of a start-up, that is going through significant change to become a scalable sustainable organisation.
  • Strong organizational skills and exceptional attention to detail.
  • Confident using scheduling and collaboration tools (e.g., Microsoft Outlook, Teams, SharePoint, PowerPoint, Excel).
  • Excellent written and verbal communication skills.
  • Proactive and resourceful, with the ability to anticipate needs and take initiative.
  • Able to juggle multiple priorities and stay calm under pressure.
  • Comfortable working in fast-paced and evolving environments.
  • Preferred but not essential: Lean Improvement Proficiency

Preferred Attributes

  • Passionate about enabling teams and making things run smoothly.
  • Team-first mindset—collaborative, supportive, and solutions-focused.
  • Quick learner who’s not afraid to ask questions or offer ideas.
  • Experience in supporting business transformation or data projects is a plus.
  • Familiarity with visual storytelling and presentation design is an advantage
