Job summary

Unknown Architecture Practice is looking for a Practice Operations Coordinator to support day-to-day operations, facilities, administration and people functions. You will work closely with the Practice Manager and senior leadership to ensure the studio runs smoothly and efficiently.

The role combines operations, facilities, administration and people support, with a focus on process improvement, budget monitoring and stakeholder coordination across the studio.

Qualifications

  • Experience in Operations, Practice Management, Office Management or Studio Management.
  • Highly organised with excellent attention to detail.
  • Comfortable managing multiple priorities in a busy professional environment.
  • Strong communication and interpersonal skills with senior leadership.
  • Commercially aware with budgeting, suppliers or operational expenditure experience.
  • Proactive, solutions-focused with a mindset for process improvement.
  • Experience coordinating facilities, IT suppliers and office operations.
  • Experience in architectural/design or professional services is advantageous.

Responsibilities

  • Overseeing the day-to-day operation of the practice to run efficiently.
  • Supporting and coordinating the administration and support teams.
  • Monitoring operational expenditure and maintaining records of suppliers, subscriptions and office costs.
  • Working with senior management to identify and implement operational improvements.
  • Supporting employee onboarding, wellbeing initiatives and HR administration.
  • Managing facilities, office maintenance, contractors and supplier relationships.
  • Coordinating internal IT and operational systems with external providers.
  • Supporting financial administration, budget monitoring and reporting.
  • Leading project audits and maintaining internal procedures and quality standards.
  • Coordinating internal events, CPD programmes and studio culture initiatives.

Job description

We're working with an award-winning architectural practice renowned for delivering exceptional prime and super-prime residential projects for discerning private clients. They are now seeking a Practice Operations Coordinator to become a key member of the team, supporting the day-to-day operation of the practice and helping ensure the business continues to run smoothly and efficiently.

This is an excellent opportunity for an organised, commercially aware and proactive individual who enjoys improving processes, supporting people and ensuring a busy professional practice operates efficiently. Working closely with the Practice Manager and senior leadership team, you'll become a central figure within the studio, helping to shape the operational success of the business.

The Role

This is a varied role combining operations, facilities, administration and people support. You'll oversee the smooth day-to-day running of the practice while identifying opportunities to improve processes, enhance the employee experience and support the continued growth of the business.

Key responsibilities include:
  • Overseeing the day-to-day operation of the practice, ensuring the studio runs efficiently and professionally
  • Supporting and coordinating the administration and support teams
  • Monitoring operational expenditure and maintaining accurate records across suppliers, subscriptions and office costs
  • Working closely with senior management to identify and implement operational improvements
  • Supporting employee onboarding, wellbeing initiatives and wider HR administration
  • Managing facilities, office maintenance, contractors and supplier relationships
  • Acting as the internal point of contact for IT and operational systems, coordinating with external providers
  • Supporting financial administration, budget monitoring and operational reporting
  • Leading project audits and helping maintain internal procedures and quality standards
  • Coordinating internal events, CPD programmes and initiatives that contribute to a positive studio culture
About You
  • Previous experience within an Operations, Practice Management, Office Management or Studio Management role
  • Highly organised with excellent attention to detail
  • Comfortable managing multiple priorities within a busy professional environment
  • Strong communication and interpersonal skills with the confidence to work alongside senior leadership
  • Commercially aware with experience monitoring budgets, suppliers or operational expenditure
  • Proactive, solutions-focused and always looking for ways to improve processes
  • Comfortable coordinating facilities, IT suppliers and office operations
  • Experience within an architectural, design, engineering or professional services environment would be advantageous
