You will handle calls, welcome guests, manage post and emails, assist with admin tasks and IT liaison, and contribute to maintaining the office's online presence.

Qualifications

  • Min 4-5 years office-based admin experience.
  • Strong attention to detail and organisational skills.
  • Confident, with strong written and verbal communication skills.
  • Problem-solving ability and discretion in handling confidential matters.
  • Team-oriented and able to support colleagues.
  • Adaptable to different behaviours and working styles.
  • Ability to build and maintain good client relationships.
  • Proficient in Outlook and MS Office (Word, Excel).

Responsibilities

  • Answer and monitor calls, forwarding to the relevant person and taking messages.
  • Welcome guests and provide refreshments on arrival.
  • Keep the reception desk tidy at all times.
  • Receive, sort and scan incoming post for the team.
  • Manage and forward emails in the general inbox.
  • Assist teams with administration duties (copying, filing, printing).
  • Document control within the Document Management System.
  • Process expenses and team purchases, including courses and training.
  • Arrange and facilitate professional development programmes and events.
  • Order stationery and office supplies within budget.
  • Prepare meeting rooms for clients with refreshments and setup.
  • Liaise with external IT support as needed.
  • Maintain and update the office website and social media (LinkedIn, Twitter).
  • Arrange and facilitate office socials.

About the Company

A well-established small to medium-sized architecture firm based in South West London is looking for a Practice Administrator to join the team. This role will be the first point of contact and the face of the office, including welcoming clients and handling initial enquiries in a friendly, professional manner. It is a varied role, supporting a team of architects. You will play an important part in the day-to-day responsibilities of the team, working closely with colleagues to ensure efficiency across the office.

Responsibilities
  • Answer and monitor calls, forwarding them to the relevant person as required and take accurate messages
  • Welcome guests, show them to the meeting room and offer refreshments on arrival
  • Keep the reception desk tidy at all times
  • Receive, sort and scan incoming post for the team
  • Manage and forward emails that come into the general inbox
  • Assist teams with administration duties, such as copying, filing, printing and similar tasks
  • Document control within the Document Management System
  • Process expenses and team purchases, including courses and training
  • Arrange and facilitate professional development programmes and events run by the company
  • Order stationery and office supplies in line with budget
  • Ensure meeting rooms are clean and ready for clients and visitors with tables clear, water refreshed, glasses clean, and similar preparations
  • Arrange office maintenance as required
  • Assist with information technology issues and liaise with external support providers
  • Maintain and update the office website and social media platforms such as Twitter and LinkedIn
  • Arrange and facilitate office socials
  • Handle confidential matters with discretion
  • Undertake any other duties as required for the smooth running of the office

Pay range and compensation package
  • Salary - circa £40-45k DOE and great benefits within a supportive architectural practice.
  • Working arrangement - This is an office-based role, with five days per week in the office essential. Candidate must live in London and able to commute easily to the office.
