POLICY TEAM COORDINATOR

Salary: Circa £30,000 PA Subject to Knowledge and Experience

MAIN PURPOSES OF THIS JOB

The Policy Team Coordinator is a key role at the UK BioIndustry Association (BIA), the voice of the innovative life sciences and biotech industry, enabling and connecting the UK ecosystem so that businesses can start, grow and deliver world-changing innovation.

The Policy Team Coordinator provides crucial support to the BIA’s award-winning Policy and Public Affairs team. The role holder will ensure the team’s work and engagement with stakeholders and BIA members runs smoothly and is well coordinated, enabling the team to have maximum policy influence and BIA members to feel engaged and informed. This will involve providing support to the running of BIA’s Advisory Committees and Member Communities.

DUTIES AND RESPONSIBILITIES

Working closely with the Head of Data Tech Policy and Public Affairs and the wider team as appropriate, the Policy Team Coordinator will have the following responsibilities:

Committees and Communities:

  • Support the Secretariats of BIA Advisory Committees, ensuring coordination of meetings and agendas
  • Manage Communities from a PAP perspective: liaise closely with Marketing, Membership and Events teams to ensure appropriate scheduling of newsletters and building Communities in CRM.
  • Manage logistics for Committee meetings and stand-alone Community events, liaising closely with the Events team for consistency of process, systems and event programme co-ordination
  • Manage logistics for PAP-led and Community webinars
  • Work with the Events team on other events linked to Communities where required
  • Manage the Government Affairs Network, maintaining communications with them and managing the logistics of dinners and other events

Team support and coordination:

  • Ensure data in the BIA CRM and external stakeholder monitoring systems are current and accurate, liaising closely with the Membership team
  • Provide diary management and meeting logistics as required
  • Support the team on travel logistics and other administration

The above responsibilities will include the following types of activity:

  • Supporting the team with BIA committee organisation, including;
    • Room bookings
    • Identifying and liaising with venues
    • Liaising with speakers
    • Taking and sharing minutes and agendas
    • Organising catering or refreshments
    • Organising associated committee governance meetings.
  • Manage logistics for Policy and Public Affairs & Community events, including:
    • Planning
    • Identifying and liaising with venues
    • Managing invitations and RSVPs, including on the CRM
    • Liaising with speakers
    • Other event support as required
  • Wider Policy and Public affairs team support, including:
    • Team co-ordination and diary management
    • Keeping the BIA CRM up to date
    • Recording and tracking stakeholder engagement
    • Uploading content to the BIA website

As a small organisation, flexibility is a key value all members of the team need to work to. As such the above duties and responsibility are subject to change as informed by needs of the team, organisation and changes in the external environment.

KNOWLEDGE, SKILLS AND EXPERIENCE

Essential:

  • Excellent organisational skills, including the ability to manage multiple projects and schedules
  • Events and/or meeting organisation experience
  • Experience of providing administrative support to meetings, e.g. through minute taking.
  • Competency with Microsoft Office, including Outlook
  • Collaborative team-player who is flexible to changing business needs and supports colleagues effectively
  • Excellent interpersonal skills and ability to develop good working relationships with a variety of stakeholders

Desirable:

  • Experience of Membership organisations
  • Experience of Microsoft Dynamics CRM and Preside CMS
  • An interest in the life sciences and/or government and parliament
