Job summary

Ginai Pharmaceuticals is seeking an organised Personal Assistant to work closely with the Sales Director. The role involves structuring a busy environment, managing multiple priorities and owning tasks without constant reminders.

You will develop a deep understanding of the Director's priorities, staying one or two steps ahead and driving administrative excellence across the business. The position offers growth within a growing pharmaceutical wholesale company.

Responsibilities

  • Managing the Director's diary, meetings and appointments.
  • Organising travel, accommodation and business arrangements.
  • Managing and prioritising correspondence.
  • Preparing documents, reports and presentations.
  • Taking notes during meetings and tracking follow-up actions.
  • Liaising with customers, suppliers and internal team.
  • Chasing outstanding actions and ensuring deadlines are met.
  • Assisting with events, conferences and meetings.
  • Supporting new projects and business initiatives.
  • Carrying out research and gathering information when required.
  • Maintaining accurate records and administrative systems.

About You

We are looking for someone who is:

  • Highly organised with excellent attention to detail

  • Comfortable working in a busy and changing environment
  • Able to prioritise multiple tasks effectively
  • Reliable and professional
  • Confident using Microsoft Office, particularly Outlook, Word and Excel
  • Comfortable learning new technology and software
  • Willing to take ownership and follow tasks through to completion

Previous experience as a Personal Assistant, Executive Assistant, Administrator or similar role would be beneficial, but we are also open to candidates who demonstrate exceptional organisation, initiative and potential.
