Job summary

Brett Group is seeking an experienced Executive Assistant/Personal Assistant to provide proactive and confidential support to the Board Director and senior management team. The role is central to the smooth running of the business, acting as a key point of contact for employees, customers, suppliers and stakeholders.

You will manage complex diaries, coordinate travel, prepare reports and minutes, and support communication and engagement initiatives while upholding discretion and professionalism

Qualifications

  • Previous experience in a Personal Assistant, Executive Assistant or Senior Administrator role.
  • Excellent diary management and organisational skills.
  • Strong written and verbal communication skills.
  • Advanced Microsoft Office skills, particularly Word, Excel, PowerPoint and Outlook.
  • Experience preparing presentations, reports and management information.
  • Ability to manage confidential information appropriately.
  • Excellent attention to detail and accuracy.
  • Strong interpersonal and relationship-building skills.
  • Ability to prioritise workload and manage competing demands.
  • Professional, adaptable and proactive approach.

Responsibilities

  • Proactively manage complex diaries, scheduling meetings and appointments efficiently.
  • Coordinate travel arrangements, accommodation bookings and itineraries.
  • Prepare meeting packs, board reports, presentations and supporting documentation.
  • Attend meetings where required and produce minutes and action logs.
  • Manage incoming correspondence, emails and telephone enquiries on behalf of senior leaders.
  • Act as a trusted point of contact between senior management and internal and external stakeholders.
  • Ensure all confidential information is handled with absolute discretion.
  • Maintain filing systems and prepare reports, spreadsheets and presentations.
  • Coordinate visitor arrangements and ensure a professional first impression.
  • Support internal communications, team briefs and company events.
  • Assist with recruitment administration and onboarding activities.
  • Support induction arrangements for new employees and visitors.
  • Coordinate training records and assist with development programmes.
  • Work closely with managers to support employee engagement initiatives.
  • Promote professionalism and positive workplace behaviours.
  • Produce accurate management information and reports.
  • Maintain data and reporting systems with accuracy.
  • Assist with business projects and improvement initiatives.
  • Monitor actions and deadlines, ensuring timely completion.

About The Role

To provide proactive, confidential and professional administrative and personal assistant support to the Board Director and senior management team.

This role is central to the smooth running of the business, acting as a key point of contact for employees, customers, suppliers and stakeholders. The postholder will manage administrative functions, coordinate business activities, support communication and engagement initiatives, and help develop a positive, high-performing culture across the organisation.

This is a varied role requiring strong organisational skills, attention to detail, discretion, initiative and the ability to build positive relationships at all levels.

Main Responsibilities
Executive and Personal Assistant Support
  • Proactively manage complex diaries, scheduling meetings and appointments efficiently.
  • Coordinate travel arrangements, accommodation bookings and associated itineraries.
  • Prepare meeting packs, board reports, presentations and supporting documentation.
  • Attend meetings where required and produce accurate minutes and action logs.
  • Manage incoming correspondence, emails and telephone enquiries on behalf of senior leaders.
  • Act as a trusted point of contact between senior management and internal and external stakeholders.
  • Ensure all confidential information is handled with absolute discretion.
Administration and Office Management
  • Support the day-to-day administration and organisation of the business.
  • Maintain accurate electronic and paper filing systems.
  • Prepare documents, reports, spreadsheets and presentations to a professional standard.
  • Coordinate visitor arrangements and provide a professional first impression to all visitors.
  • Ensure meeting rooms, hospitality requirements and office facilities are organised effectively.
  • Manage company correspondence and documentation controls.
Communication and Engagement
  • Assist with internal communications and business announcements.
  • Support the coordination and delivery of team briefings, business updates and company events.
  • Develop engaging communication materials for employees and stakeholders.
  • Promote positive employee engagement and reinforce company values and behaviours.
  • Support initiatives designed to strengthen culture, communication and collaboration across the business.
People and Organisational Support
  • Assist with recruitment administration, including advert preparation, interview scheduling and onboarding activities, ensuring compliance with GDPR requirements and the confidential handling of candidate and employee information.
  • Support induction arrangements for new employees and visitors.
  • Coordinate training records and assist with the organisation of development programmes.
  • Work closely with managers to support employee engagement initiatives.
  • Promote consistent standards of professionalism and positive workplace behaviours.
Reporting and Business Support
  • Produce accurate management information and reports.
  • Maintain data and reporting systems with a high degree of accuracy.
  • Assist with business projects and improvement initiatives.
  • Monitor actions and deadlines, ensuring timely completion and follow-up.
