Job summary

University Hospitals of Derby and Burton NHS Foundation Trust is seeking a part-time Band 3 Administrator for the Dietetics Service at Royal Derby Hospital, 32 hours per week. You will join the Admin team delivering an efficient service and will bring administration experience, strong communication, and attention to detail.

The role covers patient contact, audio typing, NHS correspondence, referrals management, clinic organisation, and waiting list validation.

Qualifications

  • Background in administration with effective written and verbal communication.
  • Keyboard skills and experience with Microsoft Office including Word.
  • Ability to manage patient queries with courtesy and professionalism.
  • Good organisational skills and willingness to learn.

Responsibilities

  • Act as point of contact for patients and staff with courteous, professional communication.
  • Audio typing and despatch of NHS patient correspondence within timescales.
  • Ensure urgent correspondence is brought to the attention of the team.
  • Manage referrals to organise clinics for dietitians and support waiting lists.
  • Provide secretarial cover and cross-site administrative support as needed.
  • Use Excel to support patient tracking and appointments; conduct stock checks.
  • Attend cross-site meetings and assist other admin teams as required.

Job description

An opportunity has arisen within the Dietetics Service, based at the Royal Derby Hospital, for a PART-TIME Band 3 Administrator, working 32 hours per week. We are looking for someone to join our Admin team, delivering an efficient and effective service to the Dietetics department. You will have a background in administration, effective written and verbal communication skills, and good attention to detail. Keyboard skills and experience of using Microsoft Office packages including Word is essential. This role will primarily be supporting the oncology dietitians but would still be expected to assist the wider team upon completion of primary tasks. You will possess good organisational skills, be an enthusiastic and motivated team player with a willingness to learn. Working within Dietetic Services , you will work alongside other administrative staff to provide a high quality administration service.,

  • To act as the point of contact for patients and staff ensuring that all queries are answered with skill, sensitivity, and in a courteous and professional manner.
  • Audio typing, and despatch of clinical correspondence related to NHS patients within agreed timescales and quality standards.
  • To ensure that urgent correspondence is brought to the immediate attention of the relevant team member.
  • Manage access plans and referrals to organise clinics for dietitians
  • Support management in the preparation and validation of the waiting lists.
  • To elevate any urgent problems to a senior manager.
  • Provide secretarial support/cover for colleagues during absence.
  • Undertake necessary training as and when required by the Trust.
  • To provide general administrative and clerical service including creating access plans, managing clinics, retrieving patient records, word processing, photocopying and scanning and audio typing
  • To support with patient tracking and appointments through the use of Microsoft Excel.
  • Perform regular stock checks.
  • To assist in the improvement of existing processes and pathways.
  • Ability to attend cross site meetings and support other admin teams
  • Attend meetings across multiple sites as required
  • Provide occasional cross-cover support to other administrative teams during periods of sickness, annual leave, or unforeseen absence to help maintain service continuity.
