Job summary

University Hospitals of Derby and Burton NHS Foundation Trust in Derby is seeking a proactive Support Secretary for the Maxillofacial Team at Royal Derby Hospital to provide high-quality medical administration and patient care support. You will work with consultants and clinical staff, prioritise a varied workload, and develop skills within a busy environment.

Training will be provided to support your understanding of NHS processes.

  • Experience in administration from a healthcare or similar setting.

Responsibilities

  • Quality checking/typing and despatch of VR voice recognition clinical correspondence relating to NHS medical patients within standards.
  • Liaise with wards, departments, patients and other health care providers to ensure prompt communication.
  • Maintain departmental clinical admin information and filing.
  • Understand the 18-week RTT process and Trust Patient Access Policy requirements.
  • Maintain regular case notes and accurate filing.
  • Book and arrange meetings and provide cover to other areas when required.

We are seeking a proactive and reliable team player to join our Maxillofacial Team at Royal Derby Hospital as a Support Secretary. This is an exciting opportunity to develop your skills within a busy and supportive speciality, with the potential to build a rewarding career in medical administration.

Working closely with consultants, clinicians, medical secretaries and the wider multidisciplinary team, you will help provide a high-quality and efficient administrative service that supports patient care. You will undertake a variety of administrative duties and receive support and development to expand your knowledge and experience within a medical secretarial environment.

The successful candidate will be adaptable, able to prioritise a varied workload, and committed to delivering an excellent service. You will be required to work flexibly across the team, supporting colleagues and ensuring the smooth running of the service.

  • Quality checking/typing and despatch of VR voice recognition clinical correspondence relating to NHS medical patients within the quality standards and time limits as specified.
  • Effective liaison with the relevant wards and departments within the hospital and with patients and other health care providers associated with the Consultant, his/her team to ensure a prompt and effective communication system.
  • Assist in the upkeep of the departmental clinical admin information and general filing correspondence.
  • Training will be given to ensure your understanding of the 18-week RTT process and a knowledge of the Trust Patient Access Policy and an agreement to adhered to these policies according to National Trust Guidelines, Waiting list management and 18 weeks guideline
  • Responsible for the regular case note maintenance and accurate filing
  • Books and arranges meetings when required.
  • To provide support and cover to other areas to the Business Unit/Division and to undertake other duties as requested.
  • Answer the telephone and take messages and deal with queries as required.
